Overview:
LMI is seeking an Administrative Specialist to support the US Army Medical Materiel Development Activity’s (USAMMDA) mission to develop, manage and perform end to end life cycle logistics on medical equipment to protect and sustain the Warfighter’s and their families for the Nation. This position supports the Fort Detrick, MD location (Contractor office within 10 miles of Fort Detrick).

Responsibilities:

  • Participate in USAMMDA administrative meetings, disseminate associated information and guidance to Division/PMO personnel.
  • Prepare documents IAW Army Regulation 25-50, Preparing and Managing Correspondence to include preparing Department of the Army memorandums, letters, executive summaries, Information Papers briefings and staffing of correspondence (preparing Staff Action Summary Sheets – HQ MEDCOM Form 540).
  • Prepare, review, and staff correspondence and other documentation and publications consistent with established policies and procedures.
  • Review and edit Division correspondence for changes in spelling, grammar, punctuation, word usage and correct format style for the intended audience IAW USAMMDA policy and procedures.
  • Coordinates numerous travel itineraries simultaneously. Assists division personnel with travel order requests, coordination, and preparation of foreign and domestic travel documents. Familiar with travel requirements including Army Conference Policy, monitors pre-travel requirements, and keeps personnel informed of travel document status. As required, assists in the preparation of final trip reports and travel expenses for reimbursement.
  • Responsible for maintaining calendars for Project Managers, Deputies, and staff. Includes the use of Microsoft Outlook in order to effectively communicate via e-mail, schedule multi-person meetings for both personnel internal and external to the Command and manage multiple Outlook Calendars for separate team members. Alerts staff to impending meetings, appointments, and de-conflicts engagements and other events.
  • Maintains solid working relationships with customer, identifies customer needs, works to provide courteous, reliable services and solutions in a timely manner, and follows up to guarantee customers remain informed and addressed.
  • Prepare weekly memorandums, meeting minutes and other DoD documentation as needed.

Qualifications:

  • Associate’s degree in a related discipline OR 6 years professional experience.
  • Demonstrated ability to successfully communicate with personnel at various echelons through the use of effective interpersonal and communication skills.
  • Managing numerous efforts and effectively prioritizing and multi-tasking requirements that have a direct impact on the Program.
  • Capable of using Microsoft Office Suite, Word, PowerPoint, and Excel.
  • Use Microsoft Outlook in order to effectively communicate via email with other staff; use the Outlook calendar.
  • Proficiency using Army Regulation 25-50 and preparing and managing correspondence
  • Ability to obtain and maintain a US government security clearance required.
