Responsibilities:
The Administrative Support Officer provides administrative assistance to support relevant staff and activities at Industry Exchange. The goal is to provide 60-day internship opportunities for all eligible PhD candidates. Tasks may be wide ranging and broadly include those listed below. This role will be based at our Curtin Bentley Campus where you will have the opportunity to grow your network and skills, in an agile and fastmoving organisation.
- Facilitate engagements between PhD students, their academic supervisors and external stakeholders.
- Respond to incoming enquiries and requests in a proactive, accurate, customer-focused and professional manner.
- Prepare documentation (e.g. reports, minutes of meetings, correspondence), using the full range and features of MS Office applications, in accordance with the requirements and standards of the work unit.
- Coordinate arrangements for and schedule meetings and appointments including inviting attendees, booking venues, setting up project initiation meetings as required. May manage another staff member’s diaries.
- Maintain and update records and information within the work unit via the established records management system (CRM) and procedures, including archival or disposal in accordance with University policy and relevant legislation, to ensure accuracy of filing and ease of retrieval.
- Facilitate communication outputs and assist with collating marketing materials (e.g. testimonials, content, imagery)
- Undertake other activities which are consistent with the accountabilities and responsibilities as listed above.
