The Cyber & Analytics Business Area is seeking an Administrative Support Specialist to support their Division Managers and local staff in Columbia, MD. We are looking for an energetic, motivated, independent, self-starter who will provide direct support to leadership. The candidate will perform a broad range of office management and administrative tasks.
The Administrative Support Specialist collects, records, tracks and verifies information from multiple sources and coordinates with other parts of the organization. Work performed at this level may include evaluating information gathered and developing recommendations. The position requires initiative to anticipate and address potential risks and problems. The selected candidate will need to resolve routine problems independently and produce work products that are complete and free from error. Due to coordination with other parts of the organization, the successful candidate will need to build and maintain relationships across the Business Area and beyond. The position requires managing multiple and competing requirements with efficiency, attention to prioritization, detail orientation, and execution.

REQUIRED QUALIFICATIONS:

  • High school diploma and 3-5 years of administrative support experience at a senior level
  • Proficiency with MS Office Suite (Outlook, Excel, Power Point, and Word)
  • Strong written and verbal communication skills
  • Demonstrated attention to detail in written communication (i.e. accuracy in spelling, grammar, punctuation, document editing, proofreading, and understanding content)
  • Ability to work independently and successfully in a team environment.
  • Must possess a positive, professional, and personable demeanor with an ability to interact well with both external and internal contacts at all levels.
  • Ability to multi-task and prioritize competing priorities.

DESIRED QUALIFICATIONS:

  • Ability to obtain a TS/SCI with poly clearance
  • Bachelor’s degree in Business Administration or a related field
  • Familiarity with Leidos
  • Experience with Concur travel management and expenses, SharePoint, Prism, Workday, and PowerBI

Responsibilities:

  • Provide support across the Divisions.
  • Manage the Division Prism web page and shared document repositories for Division programs and employees
  • Maintain Outlook distribution lists.
  • Utilize Leidos business systems and processes to perform facilities utilization, meeting room management, and other routine tasks.
  • Coordinate travel arrangements and expense report submission.
  • Order office supplies.
  • Collect and compile data and input for routine reports, to include but not limited to the weekly 5-15, MOR (Monthly Operating Review), IPR (Independent Program Review), etc.
  • Analyze and track data and generate reports related to overhead, training, program engagement, staffing, etc.
  • Plan and execute events, including but not limited to engagement activities, training, intern hiring events, and site visits.
  • Coordinate badge/token/equipment delivery and other local on-boarding activities for new hires and collect items for local off-boarding of employee departures. Support front line supervisors with on-boarding and off-boarding processes to ensure a consistent Leidos experience.
  • Responsible for tracking device (computer, phone, etc.) usage to include actively working with employees to return unused equipment, replace aged equipment, and deploy new resources when needed.
  • Meet/greet internal and external visitors, and provide logistical support (e.g. workspace, network connectivity, etc. as needed).
  • Prepare for classified meetings and escort visitors as required.
  • Order refreshments/meals for Corporate / CTX, Sector, Business Area, and Division meetings to include room reservation, set-up, and cleanup.
  • Coordinate updating of internal marketing materials and program overviews (Purple Book)
  • Coordinate special projects as needed.
