Job Opportunity: Site Administrator (3-Month Assignment) - ACCIONA Waste to Energy Plant, East Rockingham

Job Description

We are seeking a dedicated Site Administrator to join our team at the ACCIONA Waste to Energy Plant in East Rockingham. This is a temporary 3-month assignment to support our operations and project administration.
The site administrator is to join our team for the safe and effective construction completion, commissioning, and handover of the East Rockingham Waste to Energy facility. Clerical support in a Permit-to-work (PTW) office involves various administrative tasks that are essential for the smooth operation of the PTW process.

Key Responsibilities:

  • Clerical support staff are responsible for accurately entering data into the PTW system, including permit details, work activities, personnel information, and safety measures.
  • Clerical support personnel prepare, and format documents related to the PTW process, such as permits, work orders, risk assessments, safety procedures, and incident reports.
  • Maintaining organized records is crucial in a PTW office. Clerical support staff file documents, permits, and records in a systematic manner for easy retrieval and reference.
  • Support staff handle incoming and outgoing correspondence related to PTW activities, including emails, letters, and phone calls. They may schedule meetings, coordinate appointments, and communicate with internal and external stakeholders.
  • Clerical support personnel make copies of documents as needed and distribute them to relevant parties, ensuring that all stakeholders have access to necessary information.
  • Keeping track of office supplies, forms, and equipment used in the PTW process is another responsibility of clerical support staff. They ensure that supplies are adequately stocked and reorder items as necessary.
  • During audits or inspections, clerical support staff may be responsible for providing documentation, retrieving records, and assisting auditors or inspectors as needed.
  • General administrative support to PTW office staff, such as scheduling appointments, preparing reports, and performing other tasks as required.
  • Handle sensitive information with discretion and maintain confidentiality regarding permit details, personnel records, and other confidential data.

Required Skills and Competencies

Key Competencies:

  • Minimum 6 years of administrational experience
  • Proficiency in accurately entering data into computer systems or databases.
  • The ability to organize and prioritize tasks effectively in a busy PTW office.
  • Strong verbal and written communication skills are essential for interacting with colleagues, stakeholders, and clients, as well as for responding to inquiries and providing information about PTW procedures.
  • Proficiency in using computer software and office applications, such as Microsoft Office (Word, Excel, Outlook), is necessary for clerical tasks such as word processing, spreadsheet management, and email correspondence.
  • The ability to manage time effectively meet deadlines and ensure that permits and documents are processed efficiently.

Note: This is a temporary assignment for 3 months with the possibility of extension based on project needs.
