  • Cultural Sensitivity: As the organiser of national day celebrations and similar activities, they should appreciate and respect cultural diversity.
  • The ideal candidate should have excellent oral and written communication skills.
  • Have a strong understanding of IT systems.
  • Have a good command of Microsoft Excel
  • A full clean Irish/ European driving licence. On occasion you will be required to visit Centres.
  • Excellent knowledge of social media platforms.
  • Garda Vetting Clearance and Police Vetting if applicable

Responsibilities:

JOB PURPOSE

We are looking for a responsible Administrator to perform a variety of administrative and clerical tasks. The successful Administrator should ensure the efficient and smooth day-to-day operation of our office which is based in Portarlington, Co. Laois. Duties of the Administrative Assistant include providing support to the CEO, HR Manager and Senior Management Team, assisting in daily office needs and managing Harmony Residential Care’s general administrative activities.

GENERAL ROLES AND RESPONSIBILITIES

Administrator’s responsibilities include

  • Raising invoices
  • Reconciling petty cash systems
  • Making payments
  • Managing suppliers
  • Managing the Organisation’s office essentials such as stationary and other office supplies.
  • Managing the Organisation’s training requirements.
  • File set up for new team members
  • Arranging and hosting occasional internal social events.
  • Making travel and meeting arrangements.
  • Answer and direct phone calls
  • Provide administrative support for the CEO, HR Manager and Senior Management Team on an ad-hoc basis.
  • Maintenance of office systems, including data management, filing and record-keeping.
  • Assist in all Organisational audits as required
  • Provide data and information for management reports.
  • Updating Company website and all social media platforms
  • Creating online advertisements for employment opportunities
  • Minute-taking, typing and word processing.
  • Meeting and greeting visitors.
  • Dealing with incoming email and post.
  • Adhere to all Harmony Residential Care’s policies and procedures.
  • Exercise discretion at all times.
  • Maintain high standards regarding health and safety obligations.
