Description:

This is an exciting opportunity to join an established IAPT service (Improving Access to Psychological Therapy) in Lincolnshire and undertake the role of Administrator for the Sleaford steps2change Team. We are looking for a pleasant, organized, efficient team player to join us in the role of Administrator.
The successful applicant will be employed by Lincolnshire Partnership NHS Foundation Trust and will be based at the Sleaford steps2change Team at The Resource Centre. The successful candidate will be committed to providing administrative support to the IAPT Team in ensuring continued service delivery and will be expected to have a flexible approach and to work in the evening where required. You will be expected to supervise and train Band 2 admin assistants, organise and prioritise tasks, complete the booking of patients appointments by telephone/email, type letters, input data onto the Trust’s computer systems, maintain efficiency of the building and carry out other general office tasks including reception cover.
Steps2change provides a stepped care model for the treatment of people with mild to moderate common mental health problems e.g. anxiety and depression in line with NICE guidelines. Steps2change is a successful IAPT service which consistently achieves above average recovery rates.
In this role you will require excellent communication and IT skills as well as having an exemplary telephone manner. You also need to be an excellent team player with the initiative to work on your own, along with guiding the admin team.
The successful applicant will work as part of an established supportive team consisting of administrative staff and clinical staff (Psychological Wellbeing Practitioners, Counsellors, Interpersonal Therapists, Cognitive Behavioural Therapists and an Employment Advisor).
The successful candidate will be expected to provide administrative support to the team in Sleaford, meeting the needs of our service users. The service will provide regular supervision and training to support the candidate to achieve this.

Gathering appropriate information from a variety of sources to input accurately onto a database.
Production of basic reports including graphs and tables as directed.
Communicating sensitively with anyone coming into the department maintaining strict standards of confidentiality
General administration duties including: answering phone, taking messages, dealing with enquiries, dealing with mail, photocopying, and assisting with the effective dissemination of information as appropriate. Typing and producing letters, reports, and e-mails to an accepted standard of quality and accuracy as required.
Responsible for making room bookings and maintaining room booking diary.
Assist in scheduling of appointments and diary management as appropriate using Microsoft and IAPTus along with other digital formats.
Assist in the stock control and electronic ordering of all office equipment and stationery; and the subsequent electronic receipting of all received supplies.
Assist in the proper functioning, maintenance and fault reporting of central equipment used by the Team, e.g. photocopiers, printers, computers etc.
Record all data using the appropriate information system or manually where this is required including data entry, word processing, scanning of documents for e-noting and storage.
Comply with and carry out safe practice in accordance with Trust policies and procedures, and other relevant national and local guidance.
Assisting colleagues in the setting up of remote meetings throughout the Organisation (where appropriate).
To take key responsibility for the smooth running and management of appointments.
To ensure that service users and visitors to the building and teams within are dealt with in an efficient and friendly manne
