Description:
Job Purpose The purpose of the job is to provide a comprehensive and professional administrative and clerical service to the Pre-operative Assessment Unit, working as part of the Pre-operative Assessment administration team. Duties and Responsibilities - Communicating daily with patients, their relatives and representatives, the Pre-op nursing team, consultant anaesthetists, theatres, orthopaedic surgeons and specialist registrars, other members of the MDT, the inpatient booking office, wards, secretaries, GPs, medical records departments and secretaries in other Trusts. - Regular telephone communication with patients regarding pre-operative assessment appointments and admission dates. Discussing current health situations in relation to thesedates.
Rebooking appointments where appropriate and informing the Inpatient Booking team. - To accurately inform the inpatient booking team of outcome of pre-operative assessment clinics using Bluespier Reminder system, ensuring they are informed of any relevant additionalinformation which is pertinent to the patients admission. All outcomes should be actioned within 24 hours in line with trust SOP and protocols. - To record attendance of patients attending Pre-op clinic and accurately record outcomes of clinics on PAS within one working day of clinic being held.
- Under the supervision of administration team leader, obtain confidential and often sensitive medical records and information from external sources. This information is needed to confirm patients fitness for surgery and is often required at short notice. This process involves working to strict deadlines in order that patients operations are not cancelled.- To ensure that the above information is reviewed by a Consultant Anaesthetist in a timely manner and that the information is stored appropriately ready for the patients admission. - To accurately type clinic list and print labels for the next days Pre-op clinic.
- To support the administration team leader in ensuring Pre-operative Assessment clinic slots are fully utilised. To communicate regularly with the Inpatient Booking Office to accommodate any additional slots they need to fill theatre lists. - To support the administration team leader in monitoring clinic capacity, closing clinics when capacity has been achieved. - To re-book patients whose assessments need to be changed following notification of leave by Consultant, Registrar or Specialist Nurse.
- Work flexibly across the team, covering the work of colleagues during peak periods or absence/annual leave. - The post holder will be required to deal with unpredictable interruptions requiring continual reassessment of current workload. - The post holder is required to work under pressure and to tight deadlines. The need for speed and accuracy is essential.
- The post holder is responsible for the safe and efficient use of office equipment and will complete general clerical duties including photocopying, faxing, filing etc. - The post holder is required to lift loads, e.g., printed material deliveries, stationery etc. - This is not an exhaustive list of duties and other tasks may be added as the service develops.
