The Articulation Officer in the Graduate and Professional Registrar’s office is responsible for building transfer course articulations, programming the articulation rules into the PeopleSoft database, and communicating with academic departments, outside articulation officers and internal clients to promote consistency and clarity in the area of articulation and transfer for professional undergraduate programs. The position also serves as part of the Evaluation Specialist team in assuring that student’s needs are met regarding assessment of transfer credits through the management of the evaluation process as professional students apply for and complete a professional undergraduate degree at APU. The Articulation Officer/Evaluation Specialist functions as the Articulation Officer for Professional Programs at the university under the leadership and authority of the Vice-President for Graduate/Professional Enrollment and Student Services.

REQUIRED EDUCATION

  • Bachelor’s degree or related experience.

REQUIRED EXPERIENCE

  • Two to four years of experience working in a database environment.
  • Three to five years of experience in higher education student records services or related field preferred.
  • PeopleSoft Campus Solution experience is a plus.

SKILLS

  • Proficiency in Microsoft office products including Word.
  • Type 50 wpm.
  • Organizational, problem-solving, and oral and written communication skills.
  • Ability to balance a variety of tasks and demands.
  • Training skills for staff and student employees.
  • Knowledge of office procedures.

Responsibilities:

  • Researches transfer course content, then programs and maintains transfer articulations as PeopleSoft transfer credit rules.
  • Programs the transfer credit rules and articulation documents as courses are changed, added, and/or eliminated at schools with which Azusa Pacific University holds articulation agreements.
  • Coordinates with Assistant Registrar to problem solve for consistency of transfer credit rules in PeopleSoft and outcomes to posted students’ records.
  • Builds relationships with articulation officers at other institutions, with a focus on Azusa Pacific University’s top feeder schools for professional programs.
  • Formats external universities course catalogs to facilitate building one-to-one matches for courses within Azusa Pacific University’s professional programs academic majors.
  • Collaborates with Azusa Pacific University academic departments to move ahead with building articulations.
  • Coordinates with the Undergraduate Registrar concerning policies and procedures pertaining to articulating incoming transfer work.
  • Researches and coordinates the development and enhancement of transfer articulation publications.
  • Collaborates with University Relations to create and update course-to-course articulation agreements and corresponding General Education Transfer Plans for the Azusa Pacific University website.
  • Writes and maintains business process guides for programming and maintaining transfer credit rules and articulation documents, as well as processes for remaining duties for this position.
  • Performs transfer evaluations for applicants as requested by the Graduate and Professional Recruitment Program Representatives in Azusa and at the Regional Centers in a timely manner.
  • Record and maintain pertinent information in the evaluation process to respond to student inquiries and track completed and pending evaluations.
  • Post transferable courses to the student’s academic record initially at the time of admission, and on an ongoing bases as official transcripts are submitted by the student which enables students, Academic Record’s Counselors and academic departments to access the student’s academic advising report which provides clarity on the student’s progress in completing an APU degree.
  • Provides ongoing customer service support to Graduate and Professional Admissions and Registrar offices regarding transfer and articulation issues for current students.
  • Interpret and communicate policies regarding evaluation to Program Representatives, Academic Records Counselors, and academic departments for counseling students and staff.
  • Participates in development of Graduate and Professional policies and practices as related to the processes for all evaluations, tracking and degree audits.
  • Represents the Office of the Registrar on assignments and committees as delegated by the Registrar or Assistant Registrar.
  • Informs the Assistant Registrar of situations or pending problems which would prevent the delivery of services to students, faculty, or staff, or lessen the quality of these services.
  • Regular, punctual attendance as required by the supervisor based on department needs.
