Description:

South Shore Stars is a non-profit agency that provides comprehensive early education and youth development programs that enhance the optimal growth of children from economically and culturally diverse families, using a family support approach in collaboration with schools and other service providers.

POSITION SUMMARY:

The Assistant Controller oversees the finance department who is responsible for the day-to-day accounting transactions and includes payroll, accounts payable, and assisting with billing as needed. The Assistant Controller will work closely with our Controller to prepare financial reports in conformity with generally accepted accounting principles (GAAP). This position reports directly to the CEO. The successful candidate will be technically competent, possess excellent communication skills, is forward thinking and is a team player.

QUALIFICATIONS (KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of QuickBooks accounting software is required.
  • A Bachelor’s degree in Accounting or Finance is strongly preferred.
  • Minimum of two years of experience including accounts payable, billing, accounts receivable, bookkeeping, payroll and financial reporting.
  • Experience in non-profit organizations preferred.
  • Knowledge of QuickBooks accounting software is required.
  • Accuracy and attention to detail are absolutely required, as well as a track record of reliability, confidentiality, and conscientious work habits.
  • Ability to work independently with minimal supervision.
  • Ability to organize, plan, and prioritize effectively.
  • Ability to adapt and work efficiently in a rapidly changing dynamic environment with tight deadlines.
  • Exceptional communication and interpersonal skills.
  • Team player with a positive attitude and the ability to interact with all levels of the organization.

Responsibilities:

The essential functions include, but are not limited to the following:

  • Utilize QuickBooks to maintain records according to generally accepted accounting principles.
  • Review all vendor and independent contractor invoices for proper documentation, coding, and approvals.
  • Oversee finance department to ensure timely and accurate recording of all vendor invoices and all cash receipts into the accounting system, and file copies of cash receipts.
  • Process approved employee expense reports, ensuring that supporting documentation has been provided for all expenses in compliance with the organization’s policies.
  • Review employee credit card activity, reconcile against monthly statements, and record activity into the accounting system.
  • Maintain W-9 documentation for all vendors.
  • Maintain Chart of Accounts
  • Responsible for month end closing process, including preparation of monthly financial statements: historical & projections.
  • Prepare budgets and forecasts.
  • Prepare 1099 forms at year-end.
  • Reconcile accounts payable and accounts receivable monthly.
  • Process bi-weekly payroll.
  • Preparation of journal entries, analyses, and account reconciliations.
  • Assist with gathering information and supporting documentation requested during annual financial statement audits and 990.
  • Communicate with the Development team with grant applications and reporting.
  • Participate in activities needed to support the management functions of the team.
  • Perform other duties as assigned.
  • Design, review and maintain Policies and Procedures.
