Position Title: Assistant/Coordinator, People & Culture
Location: 788 Beatty Street, Vancouver, BC V6B 2M1
Terms: Full-time, Permanent
Reports to: Vice President, People & Culture
Vancouver Whitecaps FC is looking for a new team member to join our Human Resources department in the position of Assistant/Coordinator, People & Culture (P&C).
The Assistant/Coordinator, P&C will be responsible for providing Human Resources administrative support for the Club’s People & Culture department, with a focus on providing exceptional internal guest services to our employees for the entire employee life cycle. The successful candidate will oversee the maintenance and improvement of all administrative functions and processes of the department, with an opportunity to grow their career in People & Culture, in this unique and exciting organization.

Specific Job Duties include, but are not limited to:

  • Employee services - Work closely with the other P&C team members to enhance employee experience by providing exceptional service to internal colleagues in response to inquiries and requests.
  • HRIS/ATS – Own the Club’s Human Resources Information System and Applicant Tracking System, including input, maintenance, UAT and data accuracy.
  • Support the full-cycle recruitment process for all areas of the organization from Job Requisition and posting to onboarding and the new hire review process:
  • Assist with sourcing candidates using various platforms, job boards and active recruitment.
  • Supporting candidate resume screening and liaising with hiring managers as required.
  • Coordination and facilitation of the hiring and onboarding/orientation process for new employees.
  • Schedule, coordinate and assist with facilitation of club and cross-departmental events and initiatives such as:
  • Employee performance and development review processes.
  • Employee engagement surveys and feedback/advisory groups.
  • Town hall meetings, employee events and celebrations.
  • Training and other information sessions.
  • Payroll – Partner with the Payroll & Benefits Administrator and P&C team members to ensure that all employee changes are timely and accurately processed.
  • Benefits – Partner with the Payroll & Benefits Administrator to monitor and support the administration process of new employees and enrollment
  • Compliance – Assist with developing systems to track and manage compliance requirements, for example, required MLS, EDI, Sport Safety training, background checks, etc.

SKILLS/QUALIFICATIONS/EXPERIENCE:

In addition to bringing a commitment to Vancouver Whitecaps FC vision and values, the successful candidate will have the following skills and experience:

  • 2-3 years experience in Human Resources.
  • Bachelor’s degree preferred.
  • Strong organizational skills, attention to detail and ability to manage multiple projects/deadlines.
  • Effective listener, with excellent verbal and written communication skills.
  • Ability to take initiative, work well independently as well as collaborate within a strong team environment.
  • Strong computer skills, comfortable with Microsoft Office suite, other virtual meeting platforms, Adobe, and the ability to learn new programs quickly.
  • An understanding of working in a high-profile organization and how it relates to people operations, diplomacy and confidentiality.
  • Previous experience in a customer service role is preferred.
  • Ability to support home matches on an occasional evening or weekend.
  • Legal authorization to work in Canada is required.
  • Satisfactory result to a Criminal Record Check/Vulnerable Sector Search will be required prior to start date.
