Description:

Responsibilities

The responsibilities of the Assistant Facilities Manager shall include but not limited to the following:

  • To assist the Building Manager and ensure all the contractual obligations of the Service Agreements are fully complied with;
  • Administer and manage tenanted / leased areas, buildings and office space that may be included in this Contract or any properties acquired by the Authority from time to time. The work includes enforcement actions to ensure land and buildings are used in the proper manner and tenants comply strictly with the terms and conditions as specified in the Tenancy Agreements and comply with all Authorities’ requirements and guidelines. Examples of enforcement measures: no unauthorized subletting by tenants, no illegal dumping of refuse and no unauthorized extension of renovation of their tenanted space;
  • To provide and advise on M&E provisions of the lettable premise in preparation of rental of premise, and other information on lettable premises as required by the Authority;
  • To prepare, attend and assist with viewing of lettable premises, including but not limited to cleaning and prepare the premise (for vacant premises) prior to viewing, walkthrough, prepare any technical data as and when requested by the Authority. Follow-up with facilities related/technical enquires from prospective tenants;
  • Manage and ensure proper documentation of handing over of lettable premise by vacating Tenants/Licensee to the Authority;
  • Carry out joint inspections, walkthrough, and testing of M&E equipment with vacating Tenants/Licensee to ensure reinstatement works and defects have been completed in accordance with requirements;
  • To handle administrative works relating to tenanted spaces, such as approving / collating of permits, arranging with contractors / tenants on renovations etc.;
  • To inform the users, tenants and public of any updates in building facilities, change in schedules, upgrading works progress, any other important information via emails, mails, notices or any platform that may be deemed suitable upon the instruction of the Authority;
  • To oversees the daily operation and facilities maintenance of the Property etc;
  • To work with contractors on inspections, service reports, claims;
  • To call for quotations from contractors;
  • To verify on-going / completed works with contractors;
  • To be able to work on off-peak hours / weekends / PH for events/programs/shutdown/maintenance/repair works;
  • To be able to multi-task with different and various parties (i.e. such as handling different contractors and tenants at the same time);
  • Any other necessary works as directed by the Authority/Company with respect to handing/taking over of Lettable premises; and
  • Any other works as directed by the Building Manager.

Requirements

  • Degree in Building Services or Facilities Management or equivalent with at least 3-year relevant working experience with minimum 1 year in supervisory roles in related field.
  • Experience In similar settings/facilities such as malls and have done commercial tenancy will be more advantageous.
