Description:

JOB OVERVIEW:

The Assistant General Manager is an active supporter of the community vision and philosophies and FirstService Residential’s commitment to client, staff and community. As a result of job performance, will promote client retention, employee retention, and the advancement of the client in terms of its image, visibility, and reputation. The AGM directly supports and reports to the General Manager.
Compensation: $66,650 a year

SKILLS & QUALIFICATIONS:

  • Proficient in English
  • Excellent general math skills
  • Certified Community Association Manager preferred.
  • Demonstrate effective communication skills consisting of verbal, written and listening skills.
  • Excellent customer service background/skills and maintain a positive, can-do attitude.
  • Public charisma and ability to develop positive relationships
  • Strong ethical practices
  • Must be able to attend and actively participate in evening meetings as required.
  • Must be knowledgeable and adept with computer programs needed for specific position.
  • Must have minimum typing speed of 30 WPM.
  • Basic knowledge of Microsoft Applications, especially Outlook, Word, Excel and Publisher. Adobe InDesign knowledge a plus.
  • Command of information system hardware/software is preferred.
  • Requires driving; must have a valid driver’s license and state mandated vehicle insurance.
  • Ability to quickly and easily navigate the property/building as required to meet the job functions.

EDUCATION & EXPERIENCE:

  • High school diploma or equivalency required. College level courses in business or hospitality preferred.
  • Two (2) to three (3) years of business experience preferred.
  • Experience in HOA management preferred.
  • CMCA credential a plus.

Responsibilities:

JOB RESPONSIBILITIES:

  • Carry out policies and procedures of the customer and FirstService Residential concerning safety, administrative requirements, standards, practices and work methods.
  • Ability to work under tight deadlines and consistently meet deadlines.
  • Ability to work extended hours and weekends based on project requirement.
  • Exhibit professionalism, professional attire and demeanor at all times.
  • Prepares for, attends, and performs all follow-up to Design Review Committee (DRC) meetings, Welcoming Committee meetings and Communications Committee Meetings, as designated by the General Manager.
  • Performs routine community walk through to check for violations and create work-orders.
  • Oversee production and editing of monthly newsletter.
  • Engage with, solicit and build relationships with sponsors for events and monthly newsletter.
  • Oversee Lifestyle and Events In the community, Including the overall planning of events, shopping, event set up and clean up and attend regular meetings with Board Liaison to discuss Lifestyle.
  • Coordinate and implement customized community events to create a tailored and unique community spirit in assigned communities
  • identify, ensure approval, hire, and oversee performance of all vendors for events and programs in accordance with the Community Programs plan, including review of all vendor invoices prior to payment
  • Create weekly set up guide for the ballroom for the Maintenance Manager.
  • Create Event Summaries Including detailed descriptions of the events, revenues, expenses.
  • Coordinate and oversee Shared Interest Group “SIG” calendar and act as a Management Liaison to each group leader.
  • Manage private rental process.
  • Manage clubhouse “Lodge” amenity room monthly calendar to ensure no overlap of Association events, meetings, SIG usage, fitness classes or private rentals overlap.
  • Schedule fitness classes, work with fitness Instructors for a variety of fitness options for homeowners and ensure Instructors are paid on a monthly basis.
  • Establish event and fitness revenue and expenses for the Annual Budget
  • Create resident communication/flyers to be posted in elevators, bulletin boards or other areas.
  • Oversee new homeowner procedures, Including leading new homeowner orientations, entering Information Into homeowner database and verifying qualified resident status.
  • Enter monthly events and fitness classes Into homeowner database prior to the first of the month.
  • Regularly update homeowner website with all relevant information related to Lifestyle and Resident Services.
  • Responds to emergency situations in a timely, calm and efficient manner.
  • Take client calls and manage work order process, vendors, and client issues and follows up on all complaints/issues.
  • Oversee and manage resident requests, work-orders and correspondence on community website(s).
  • Keep track of inventory of office supplies and re-order as necessary.
  • Responsible for money collected from shareholders and residents.
  • May be required to code invoices to appropriate GL categories.
  • Produce requested reports for Board packets in a clean, orderly, and professional fashion.
  • Organize and maintain all homeowner and administrative files & perform annual Corporation file cleanout in accordance with company standardized hard copy and electronic system.
  • Maintain an organized workspace according to company procedures.
  • Keeps voicemail up-to-date, including setting out-of-office email and voicemail greetings, when out of the office.
  • Works collaboratively with General Manager on any special requests, i.e. administrative work, mailings, special projects, etc.
  • Complete company training as assigned, attend all mandatory company functions and adhere to FirstService Residential Standards of Operation.
  • Act as backup when General Manager is on vacation, sick days, or out of office.
  • Consistent and regular attendance required.
  • Practice and adhere to FirstService Residential Global Service Standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.
  • Provide excellent customer service to residents, vendors, and sponsors relating to event participation and management
  • Other duties may be assigned.
