WORK EXPERIENCE & TECHNICAL SKILLS

  • 3-5 years’ experience managing different soft and hard services including cleaning, security, mail room, cafeteria, event management, general and chemical waste management, pest control, sanitary, laundry, lifts, ACMV systems, electrical distribution systems, fire protection and alarm systems, offices and building maintenance, etc.
  • Exposure to office, logistics, laboratory or manufacturing environment would be an advantage

Responsibilities:

JOB PURPOSE

As an Assistant IFM Manager, you will work with our IFM vendor to manage and resolve hard and soft facilities operation issues. Also, act as main contact for employees and IFM vendors, while meet all key performance indicators as set out in the management contract. Support Givaudan strategies, including the coordination and implementation of IFM-related projects.

CORE RESPONSIBILITIES

Internal Stakeholder Management

  • Proactively engage internal stakeholders to ensure that services expectations are met
  • Build and develop effective stakeholder relationships across multiple levels of the organisation
  • Ensure escalation procedures are in place and observed for problem/fault reporting
  • Prepare monthly management report for Givaudan’s IFM Committee (monthly) and Management Committee (when needed)

IFM Vendor Management

  • Coordinate and monitor the contractors under IFM team
  • Supervise and maintain the work schedule of IFM team
  • Ensure that daily work orders and feedbacks are addressed and attended to
  • Plan and carry out regular site survey with IFM team for all sites
  • Prepare monthly financial reports including accruals and variance
  • Provide feedback on the IFM’s staff and suggest relevant improvements needed
  • Administer the master data for approval process in vendor’s application software
  • Negotiate terms for ad-hoc jobs with IFM vendor and contractors with support from IM&S

Continuous Improvement

  • Develop initiatives and strategies that lead to cost-saving and service level improvements.
  • Work with IFM vendors to implement improvements to soft and hard services, M&E equipment, buildings and compounds
