Description:

In your role as Assistant Medical, Safety & Post Market Surveillance (m/w/d) you will be responsible for effective administrative support for the supervisors and managers of the System, Quality and Regulatory department with a focus on the Medical, Safety & PMS department.

Responsibilities:

  • Planning and coordination of internal and external appointments, (team) meetings and events (e.g. scientific events), video conferences or regular telephone calls (e.g. invitation, coordination)
  • Sorting and independent processing of incoming and outgoing mail and email inboxes of superiors. Managing the resubmission and ensuring the flow of information between the departments in the company and within the Medical, Safety department
  • Ensuring the availability of the secretariat and communication with superiors by answering, forwarding, and processing internal and external calls, in German and English
  • Support in planning business trips for (foreign) managers from the SySQaRa area for visits to the site, including room and workplace booking, meeting and/or workshop organization with internal/external business partners
  • Independent assumption and management of general writing, office, and organizational tasks, as well as correspondence and typing, mainly in German and English
  • Processing of payment transactions (payment instructions, incoming and outgoing invoices) and support with questions regarding travel expense accounting
  • Special organizational tasks and administrative functions according to the respective department profile, in particular cooperation in the preparation of contracts (coordination of appointments and collection of input of internal and external functions and contract partners, as well as consolidation of the inputs), Transfer of content into templates (mainly Word and Visio based), systematic filing of regulatory documents as well as control of their completeness
  • Support with the creation, proofreading and translation of presentation documents and/or other correspondence
  • Maintenance of departmental intranet pages, creation of (regulatory) departmental org charts
  • Support and follow-up of compliance documentation, especially of on-board cases
  • On- and offboarding of departmental employees and local contact persons in the country organizations/third parties, incl. organization and tracking of IT equipment
