REQUIREMENTS

  • Minimum 5 years’ experience of relevant work experience
  • Professional, pro-active with strong organization skills with maturity and flexibility in supporting various activities
  • Have strong sense of responsibility and attention to detail
  • Flexible to work as a team and also be able to work independently
  • Good client orientation and communication skills
  • Ability to handle pressure and constantly moving schedules
  • Proficient in MS Office
  • Knowledge of DIFC area and DIFC portal would be an added advantage

Responsibilities:

  • Provide general administration support to IWM Dubai office, supporting office administrative activities
  • Manage calendar for SEO of IWM Dubai, coordinate and arrange meetings, video/conferences and handling of bookings for business trips, claims submission etc
  • Ensure logistics are in place for new staff onboarding/departure logistics
  • Support visitors from other offices for desk under coverage: IT set up, managing calendars, coordinating with their assistants, logistics around their meeting while in Dubai, etc.
  • Key training administrator for IWM Dubai in managing all Training activities, such as scheduling of training plans, booking of facilities & maintenance of training attendance records
  • Organize and coordinate for IWM events including vendor/fund house/business partners, annual dinner (s), department related events business onsite/offsite meeting
  • Submit purchase request for IWM related cost and ensure proper approval
  • Any other administrative support and/or ad hoc initiatives as deemed necessary
  • Handle the DIFC portal for license renewal and adhoc requests
  • Monitor and maintain office and pantry supply inventory and place orders as necessary.
    Coordinate with the CRES team to oversee office services, including maintenance and repairs, cleaning, and security
