The Opportunity
Our diverse teams rely on high performing administrative professionals to support the success of our day-to-day operations. We’re looking for an Administrative Associate to join our Project Development & Execution - Facilities and Quality team in Calgary, AB.
Supporting teams under the Director, Project Development & Execution – Facilities, and the Director, Quality, this position will contribute to our overall success by providing proficient administration support to the team. It supports a wide range of day-to-day activities, coordinating with others to address departmental or interdepartmental tasks, and becoming a go-to for department information and support.

What you’ll do

  • Manage Director calendars, including coordinating meeting logistics, booking rooms, arranging AV support, catering, etc., and drafting meeting agendas
  • Process all Director/Manager timesheets and expense submissions
  • Provide meeting support, including minute-taking, for Leadership Team (LT) meetings
  • Plan and Coordinate team building activities, including annual offsite event
  • Organize team volunteering events
  • Handle sensitive and confidential information in a timely, trustworthy, and professional manner
  • Work independently to develop, prepare, proofread, analyze, and update PowerPoint presentations, Excel spreadsheets, reports, communication materials, correspondence, and other materials
  • Manage travel bookings for Directors/Managers
  • Coordinate with the team to organize key data, files, and digital materials on company drives or collaboration tools (e.g., setting up shared drives, SharePoint sites, Box drives)
  • Prepare data/information analysis, scorecards, correspondence and presentations – and formatting/editing of same
  • Map and identify data/process flow inefficiencies to improve workflows
  • Administer all departmental filing and record maintenance requirements where not digital
  • Account for, submit, and manage records such as subscriptions, expenses, and timesheets
  • Assist with departmental budget preparation and monitoring, ensuring timely budget entries in the Business Planning and Consolidation (BPC) system
  • Prepare, coordinate, analyze, and report on team budgets and forecasts
  • Conduct monthly resource, charge-out and budget reviews
  • Create requisitions and process vendor invoices in SAP
  • Support the review and maintenance of employee training profiles
  • Provide ad-hoc assistance for employee recognition and life events (e.g., birth/adoption, retirement, death in family, illness)
  • Manage all Workforce, SAP, network access, and other system changes, as well as the logistics for employees, new hires, and contractors, including setting up training and onboarding for new hires
  • Oversee the onboarding and offboarding process for personnel moves
  • Facilitate townhalls and pulse working session
  • Assist team members on company programs and processes (e.g., SAP, ART, ServiceNow, Workday, MS Office)

Minimum Qualifications

  • High school diploma or equivalent
  • 6 years of related experience in a financial, business or operations analyst (or equivalent) role
  • Exceptional computer skills, ideally intermediate knowledge of: MS TEAMS, Outlook, Word, Excel, PowerPoint, and Visio
  • Proven ability to prepare materials utilizing suite of Microsoft tools with minimal supervision and under tight deadlines
  • Strong analytical (budgeting / financial) and organizational skills

Preferred Qualifications

  • Post-Secondary education in a business-related field
  • Proven time management skills
  • Proven organizational, planning and prioritization skills; ability to work in a fast-paced environment and manage tight deadlines
  • Experience with SAP, Workday and/or PowerBI
