Responsibilities:

WHAT YOU WILL DO

Under direct supervision, tracks and provides direct support for the Sustainability Infrastructure Installation Contract Business. Will work with the Regional Installation Manager, Area Lead Customer Operations Associate, Construction Manager, Site Superintendent, Systems Designers to perform routine administrative tasks that support the systems design/construction activities of a Sustainability Infrastructure Team

HOW YOU WILL DO IT

  • Assist the Construction Manager in the preparation and maintenance of Project SOVs, Client Invoicing, Customer Communication Letters, Change Order Logs, and WBS-based SOVs for subcontracts.
  • Provide additional Operations Support, as required.
  • Manage receivables to verify revenue is in line with job progress and in compliance with Revenue Recognition guidelines.
  • Proactively seek to expedite cost (via timely subcontract invoicing, materials orders, and timesheet entries) to ensure project schedules are in line with internal financial commitments.
  • Process subcontracts and subcontractor invoices; organize and maintain subcontractor documentation (including certificates of insurance, bonding, etc.).
  • With input from Construction manager, complete project-billing schedules.
  • Assist in collection of overdue payments.
  • Perform general administrative project support including maintenance of project files, contract documents, and design documents.
  • Coordinate corporate health and safety processes including administrative support for project leaders and managers.
  • Coordinate internal/external project and client-related meetings.
  • Manage Contract Closeout process.
  • Assist Regional Installation manager with the securing and booking process as needed, verifying approval status to ensure timely booking, secure signed contract documents, and distributing and following up on documents.
  • Assist sales team and project owner in Change Order Proposal and follow-up process.
