WORK ARRANGEMENTS

Work arrangements: This contract part-time position is available from July 22, 2022 to March 31, 2025. Hours of work will vary based on event schedules each semester and will typically fall between8:00am and 10:00pm. This position is required to work a flexible schedule based on operational needs with possible increase up to 35 hours per week during peak periods. Evening and weekend work will be required. The position is located primarily at the New Westminster campus and will be required to work at all Douglas College campuses and offsite locations.
This position will remain open until filled with a first review date of July 2, 2024. Interviews may commence as early as July 8, 2024.

Responsibilities:

THE ROLE

This position is responsible for the delivery of Athletics & Recreation events; including Game Day Operations which requires an understanding of NIRSA, PACWEST, NWAC and CCAA leagues, policies and protocols. A successful candidate will operate within a student-centered framework to enhance student engagement, enrich the student experience, and foster an environment for student success. The Athletics & Recreation Event Assistant reports to the Manager, Athletics & Recreation Operations.

SPECIFIC RESPONSIBILITIES INCLUDE:

  • Plan, coordinate and facilitate the delivery of Athletics & Recreation related events, activities and Game Day operations;
  • Develop processes to ensure proficient execution of events, activities and Game Day Operations;
  • Develop operational relationships with internal and external stakeholders to adhere to College SOPs, procedures, and protocols including municipal Facility Use policies;
  • Deliver Game Day operations in accordance to the governing organizing sport bodies i.e. PACWEST, NWAC, CCAA, etc.;
  • Liaise with the Athletics staff to organize and arrange promotional activities leading up to, during and following the event(s);
  • Provide direction to Game Day staff to ensure the delivery of a first-class event characterized by exceptional customer service, a family -friendly event atmosphere and a professional work environment;
  • Provide leadership and support the ongoing development of students;
  • Liaise with campus Security on documentation for any accidents, incidents, injuries or security related manners that occur during the event;
  • Generates and communicates statistical reports in compliance with sport governing body requirements; Ensure a safe an environment, facility and equipment for participants, spectators and staff;
  • Monitor and report on event attendance, ticket sales, and gate and concession revenue;
  • Generate weekly financial reporting and perform cash handling, in adherence to the College’s SOPs;
  • Contribute to a team environment by working collaboratively and respectfully with all stakeholders;
  • Maintain and file documentation and records according to specified requirements (College SOPs, Sport Governing Body). In consultation with the Manager, Athletics & Recreation Operations, communicates with coaches, and faculty (as directed), regarding information pertaining to student communication, media, branding requirements;
  • Attend departmental meetings;
  • Research emerging and innovative event and Game Day operation initiatives and strategies in post-secondary Athletics & Recreation.

TO BE SUCCESSFUL IN THIS ROLE YOU WILL NEED

  • Post-secondary education is an asset.
  • Available to work during evenings, weekends, holidays on and off campus.
  • A demonstrated ability to lead, motivate and inspire students aged 17-25.
  • Strong communication, time management and organizational skills.
  • Strong computer skills with proficiency in a variety of computer applications including word processing, spreadsheet development, web based CMS, social media applications i.e. Twitter, Facebook, Instagram, etc.
  • Ability to attend meetings as requested.
  • Demonstrated ability to initiate, organize and lead Athletics specific activities is an asset.
  • Other related duties as assigned.
  • Access to a vehicle and class V BC Driver’s License is required for the transportation of game day/event equipment.
