As the Office Manager, you will play a pivotal role in ensuring the smooth and efficient operation of our dealership’s administration and financial function. You will be responsible for overseeing daily office activities, managing a team of administrative staff, and maintaining accurate financial records. The ideal candidate is organized, detail-oriented, and possesses excellent communication skills.

Duties and Responsibilities:
- Lead and supervise the office administrative team, ensuring their tasks are completed accurately and efficiently. Provide training and support as needed.
- Ensure compliance with all relevant laws and regulations governing automotive sales and financial transactions.
- Handle financial transactions, including accounts payable and receivable. Payroll processing, and bank reconciliations. Prepare finance reports and budget analysis.
- Maintain accurate records of vehicle inventory, track sales and coordinate with sales and service departments to ensure proper documents and compliance.
- Assist controller with preparation of complete financial statement and ensure it is submitted in a timely manner each month.
- Assist in preparation for annual internal and/or external audit. Provide auditors with requested information; follow-up on any items that need correction.
- Complete end-of-month accounting reports.
- Calculate and reconcile depreciation expense monthly.
- Set up and maintain accruals for expenses, e.g., advertising, insurance, professional expenses.
- Overseeing daily office operation, including scheduling, appointment setting, data entry, and office supplies procurement.
- Run and review expense trend reports monthly.
- Provide back-up for cashier and receptionist as needed.
- Must follow all company safety policies and procedures, and immediately report any and all accidents to a manager or supervisor.
QUALIFICATIONS:
- At least 3-4 years of Automotive Business Office experience (overseeing payroll and supervising team in the business office), highly preferred.
- Minimum 2 years’ experience with CDK Drive
- Proficient computer skills including experience with Microsoft Office products.
- Ability to read and comprehend instructions and information.
- Dealership accounting experience preferred.
- Working knowledge of dealership financial statements.
- Ability to explain technical financial information in an understandable manner.
- Excellent communication skills and attention to detail.
