Description:
The post holder will provide a professional, comprehensive effective and efficient reception and administrative function across Bedfordshire Community Health Services.
The post holder is required to work flexibly within the reception environment to ensure that the service needs are met and that patients receive exceptional patient experience. This may involve working from other bases as and when requested by the Reception Co-Ordinator/Admin Managers.
The post holder will part of a busy and demanding reception team and will, at times, be required to work on their own initiative and as part of a team
The Receptionist/Administrator is responsible for ensuring the delivery of the following functions;
HEALTH AND SAFETY:
Liaising with clinicians, keeping them up to date with situation which arise within the Health Centre / Clinic on a daily basis
Health and Safety checks within the Health Centre / Clinic on a weekly basis and escalating any issues which arise promptly
First Aid: Be a trained first aider and ensure that first aid boxes are fully stocked and in date
Fire Warden for the site, arranging and taking part in fire practice

Responsibilities:
Meet and greet service users, colleagues, stakeholders and all Health Professionals in a professional and helpful manner
Book community appointments for patients in line with clinician’s availability and their diaries
Managing the arrival of patients and visitors to the Health Centre / Clinic eg: using SystmOne / visitors book
Answering the telephone (internal calls), signposting callers as appropriate
Ordering, re-ordering items via Oracle eg: uniform, clinics supplies, stationery etc and ensuring stock is available when required
Manage electronic diaries for all bookable rooms at the Health Centre / Clinic in a timely manner
Provide admin support to teams as and when required eg.: photocopying, scanning, laminating
Ordering, re-ordering and monitoring of stationery and other supplies. Re-stocking the stationery cupboard with these supplies.
Establish and maintain a Standard Operating Procedure (SOP) for the reception area
Work in accordance to Data Protection Act
Ensure excellent customer care at all times
Data inputting onto computerised systems
Exercise discretion and judgement when need arises
Work from other reception areas as requested by Reception Co-Ordinator / Admin Managers
