Description:

JOB OVERVIEW:

Bed Board Controller position is responsible for managing bed assignments and ensuring proper patient placement. The candidate will work closely with all floors throughout the hospital to ensure patient flow. Candidate will be responsible to manage all bed assignments, admissions and registration including direct admissions, newborn baby registrations, dialysis patients and NPC Admissions. The employee will maintain accurate documentation and record all information.

QUALIFICATIONS:

Required:

  • High School diploma or equivalent
  • 2-3 years experience in a hospital patient registration setting;
  • 1-3 years in a census management, assigning beds
  • Well-developed interpersonal skills with the ability to understand and communicate with persons of varying acuities
  • Must be able to work with the public and maintain poise under difficult situations
  • Knowledge of medical technology
  • Supervisory skills a plus
  • Good typing and computer skills

Preferred:

  • Bilingual Spanish preferred

SCHEDULING REQUIREMENTS:

  • Shift- Night- 7:00pm-8:00am
  • Monday- Friday with every other weekends/holidays

Responsibilities:

  • Performs supervisory duties in the absence of the manager including the coordination of staffing for appropriate coverage
  • Orients/trains the staff and new hires in the absence of the trainer making sure policies are adhered to
  • Troubleshoots problems and urgent issues for the staff
  • Maintains daily work schedule for the department to ensure minimum staffing requirements for adequate coverage
  • Serves as a resource for the department in the Manager s absence Communicates any PC/Printer problems and issues to the Systems Coordinator
  • Informs the Manager of any situations in which he/she has been involved
  • Assumes weekend on-call responsibilities on a rotating basis addressing staffing issues and/or any problems unresolved by the staff
  • Interviews/registers patients and/or customers assuring accuracy of information and verifying any previous encounters in the system.
  • Registers the patients into the computer to create an encounter with a patient account number and enter information onto a daily admission sheet for daily and monthly statistics
  • Makes copies of all insurance cards (front and back) upon registration and distributes them to assigned departments
  • Keeps abreast of Medical Assistance Programs in order to present, explain, and discuss such programs to determine patient eligibility qualifications
  • Evaluates, supports, and monitors patients in the application process for Federal/ State/ County financial assistance programs
  • Explains all forms to patients before obtaining necessary signatures (i.e. provides Advance Directive information for all Inpatient Services) and provides patients with Trinitas Hospital forms and booklets
  • Inputs/updates all Advance Directive information appropriately into the system, ensuring that all fields are answered and Advance Directive is channeled through all the proper areas
  • Maintains daily records to access financial resources to properly code/update accounts
  • Puts together patient charts and account folders for all scheduled procedures and admissions

Obtains all co-payments and deductibles not yet met and collects deposits as appropriate

  • Checks all previous on a daily basis for accuracy and, if necessary, makes corrections
  • Verifies benefits, obtains pre-certification, pre-authorization, referral and second opinions for all services where applicable
  • Coordinates/communicates with Central Scheduling when changes or additions to any schedules have to be made
  • Completes OB/GYN questionnaire and takes temperature on all patients according to hospital policy/procedures to determine appropriate unit assignment

  • Escorts patients to their destination in the absence of a volunteer or transport
  • Adheres to the policy concerning Codes and actions and responds accordingly
  • Notifies the Director, Nursing Supervisor or Administrator on call of any VIP admissions, concerns, or conflicts that may arise during the shift
  • Notifies the Systems Coordinator of any computer issues so that he/she may properly channel any problems (documents information and follows procedure)
  • Provides all patients/customers with interpreters services when appropriate
  • Follows downtime procedures when the computer system is down or on standby and notifies the Systems Coordinator
  • Answers the telephone within three (3) rings and responds to requests in a timely manner; identifies self and the location the caller has reached always remembering to ask How may I help you?
  • Serving as a Census Manager: Receives reservation from physicians, Emergency Department, and physicians offices for admission to the hospital. Assigns hospital beds based on medical priority
  • Coordinates patient transfers based on request, availability, and/or appropriateness of assignments to managing hospital wide patient placement, and adhering to the guidelines of patients rights and ethical issues
  • Compares discharges from previous day with the discharge census report. Maintains accurate online inpatient census by completing ADT logs, collaborating and coordinating assignments with Patient Care Units to facilitate placements and ensure precise and maximum utilization of facility
  • Notifies physicians upon Direct, Urgent, and/or Elective admissions; assigns resident admissions.
  • Serving as LMRP Specialist: Enters Clinical data onto Care medic system to obtain medical necessity compliance
  • Explains Medicare medical necessity guidelines to both physicians patients
  • Calls physicians to obtain additional clinical information as needed in order to adhere to Medicare requirements. Obtains ABN S from patients, as needed explaining Medicare guidelines and reimbursement to patients
  • Updates ADT System with additional diagnostic information. Confers with Finance Compliance Specialist and keeps abreast of Medicare regulations.
  • Serving as a Pre-Registration Representative: Pre-registers patients by obtaining and verifying all demographic and financial information.
  • Notifies patients of any pre-requisites required by the insurance plan or any change in scheduled date of service
  • Serving as a Receptionist: Greets, receives, and directs all customers to appropriate areas.
  • Answers phone Monitors patients wait time and communicates patients need
