THE GALWAY BRANCH OF DOWN SYNDROME IRELAND IS NOW RECRUITING FOR A FULL-TIME BRANCH ADMINISTRATOR TO JOIN THE TEAM.

We are dedicated to enabling people with Down Syndrome to live life to the fullest. We aim to do this throughout their life through social, educational, and developmental activities.
Working as a member of the Galway Branch Team, you will be involved in the development and delivery of a dynamic, volunteer led service for the Down Syndrome Community in the county.
As Branch Administrator, you will actively engage with members, families, carers, and stakeholders in providing a strong service for our membership.

EXPERIENCE REQUIRED:

  • At least 2 years relevant administration experience.
  • Strong IT Microsoft Office skills including Word, Excel and PowerPoint.
  • Experience in posting and updating relevant Social Media platforms - Facebook, Instagram etc.
  • Have the ability to update the Galway Branch of Down Syndrome Ireland’s website with current and relevant information for members and the public.
  • Strong attention to detail and numerical skills.
  • Excellent communication and interpersonal skills.
  • Excellent telephone manner.
  • Have knowledge and/or experience in supporting the work of a Voluntary organisation/Service provider in the field of Disability would be an advantage
  • Own vehicle is essential with a full clean drivers’ license

Responsibilities:

The Branch Administrator will have working relationships with people inside and outside of the Branch. It will demand working with the public, members, families, carers, staff and volunteers of the Branch. Support and guidance will be provided on an ongoing basis from the Chairperson and Branch Committee Members. The main responsibilities of the Branch Administrator, following induction and under the guidance of the Branch Chairperson and Committee, will include the following:

  • Service the administration needs of the Branch on a consistent basis as and when required including: Supporting the Galway Branch and its Committee - dealing with the public, National Office, funders and donors, programme deliverers etc,
  • Act as first point of contact for new members.
  • Regularly update, organise and expand information and resources and ensure information is accessible to members and their families;
  • Liaise with local and national authorities regarding available grants, and where required, complete relevant grant applications for submission to relevant bodies;
  • Build relations with National bodies, including local representative such as Disability Federation of Ireland, National Disability Authority, Inclusion Ireland etc.
  • Support members and families in accessing training both within the Branch and externally, through providing information, materials and organising training events;
  • Assist in administrative functions of the Branch;
  • Record queries and report on member’s needs, monitor new needs and report to the Branch Committee;
  • Engage in the promotion of Down Syndrome Galway, through positive PR, attendance at events, and other opportunities;
  • Manage the Branch’s social media platforms including Instagram, LinkedIn Facebook, etc.
  • Ensure the Branch’s website is kept up to date with the latest information and services
  • Provide clerical support to the Branch Committee to include invitations to training courses for families, mailings, and any other correspondence as delegated;
  • Photocopying, scanning, organising filing, ensuring compliance with relevant information retention requirements;
  • Update the management Information System as required;
  • Ensure that effective safety procedures are in place to comply not only with the Health, Safety and Welfare at Work act but also within Down Syndrome Ireland’s policies and procedures
  • Regular travel may be required to attend meetings and events.
  • This is not an exhaustive list of duties - some ad-hoc administration duties may be requested by the Branch Committee and National Office.
