Description:

To provide a wide range of administrative, clerical, and booking functions for the Breast service.
To be responsible for maintaining records both manually and on a computer system and demonstrate the ability to handle sensitive and confidential patient information, i.e. clinical letters, investigations and results.
To act as a first point of contact for all forms of communication from patients, GP’s, and other members of the Multi-Disciplinary Team.
Be responsible for working in accordance with the Health Board’s policies and procedures.
Daily preparation of reception area for commencement of clinics. Setting up computers, and ensuring patient files are available for daily clinics, collecting notes and reports as necessary.
Register new patients, book appointments. Amend any new information and log follow up patients.
Be responsible for accurate filing, both physically and electronically of patient information in a timely manner.
Regular maintenance of files pending investigations, results, reports and correspondence.
Review and deal with all incoming mail on a daily basis. To receive all Breast Clinic direct referrals from Breast Test Wales as well as GP referrals.
Processing urgent referrals and to offer appointments on a priority basis in line with Welsh Government Guidelines
Coding of clinical information through coding process.
Excellent communication skills are essential. To be the first point of contact with the public at the reception desk at times. Liaise in a professional manner with patients, relatives, consultants, GP’s, colleagues and other members of the Multidisciplinary team.
To have a good telephone manner. Receive and effectively handle telephone queries, messages and emails within an acceptable timescale on a daily basis.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

The post holder is expected to maintain strict confidentiality at all times.
Always ensuring a high standard of English is maintained when providing secretarial support appropriate to the post. Demonstrate advanced keyboard skills for regular use of outpatient computer systems.
Undertake any necessary training and effectively use the full range of computer packages available within the Health Board. This includes WPAS, internet, e-mail, Microsoft Word and accessing clinical systems to retrieve patient results on behalf of clinical team.
To be proficient in the use of a range of office equipment i.e. photocopier, scan, laminator and shredding machines, maintain confidentiality at all times. Reporting faults in accordance with office procedure.
Be responsible for working in accordance with the Health Board’s procedures.
To work in a flexible manner which meets the staff needs and service needs of the Health Board. This will be in accordance with the Health Board policy.
