Job Description:
Summary:
Reporting to the Principal Investigator Stacy Snelling in the Department of Health Studies, the Budget Coordinator is primarily responsible for the day-to-day budget management, administrative coordination, data and financial analysis, and financial reporting for external grants. This position oversees the day-to-day financial activity of assigned externally funded projects providing financial management and oversight.
Essential Functions:
- Budget Administration: Under the direction of the PI, oversees the administration of various externally funded grants. Provides advice to faculty and staff concerning proposals and awards in relationship to budgetary concerns. Manages funds and fund allocation across multiple projects ensuring accuracy and compliance with university and funder regulations. Supports CAS Research Administration with gathering, preparing, and reviewing data, preparing reports, budget forecasting, and provides updated budget estimates and journal entries as applicable.
- Data Analysis: Conducts financial data analysis and performance reports for assigned grants for the PIs and CAS Dean’s Office. Reviews and analyzes budget to actual reports, ensures accuracy of time and effort reporting, and coordinates and submits financial transactions and journal entries to the CAS Dean’s Office. Monitors and evaluates program performance and performs fiscal analysis and projections for PIs and the CAS Dean’s Office.
- Compliance, Oversight and Internal Coordination: Works with PIs to ensure budgetary compliance with relevant rules, regulations, policies, and procedures in conjunction with the CAS Dean’s Office, Office of Sponsored Awards and Research Administration (OSARA), and the Controller’s Office. Advises supervisor of necessary amendments to assigned grants, and coordinates with CAS Dean’s Office to ensure proper changes are made. Working with the CAS Director of Contracts Administration, interprets policies and procedures, and advises principal investigators on rules, regulations, and procedures to ensure compliance with relevant regulations.

Position Type/Expected Hours of Work:
- Full-Time.
- Exempt.
- This is a union-eligible position.
Salary Range:
- $55,000 - 62,000/year, commensurate with experience.
Required Education and Experience:
- Associate’s Degree or equivalent education, training and experience.
- 2-4 relevant experience.
- Microsoft Excel Basic skills: the user is able to enter and maintain data; has the ability to do subtractions, multiplications and division; and use basic formulas such as SUM, AVERAGE, COUNT NUMBERS, MAX and MIN.
Preferred Education and Experience:
- Bachelor’s Degree in Business Administration.
- 2-4 years of contract experience in an academic setting in financial administration area preferred.
Additional Eligibility Qualifications:
- Position requires knowledge of personnel, payroll, accounting, contracts, and relatable legal ramifications of contract administration.
- Written Communication skills: Expressing oneself clearly and concisely, using language with precision; constructing logical arguments; accurate note taking, editing and summarizing; and writing reports or correspondence free of spelling and grammatical errors.
- Good computer skills and ability to create extensive excel spreadsheets with necessary budget data and formulas and the ability to transfer data from other sources to spreadsheet models.
- Must maintain familiarity with rules, regulations, and policies of external funding agencies, such as NIH, NSF, DOE, and others.
- Successful candidates must be comfortable with reading budgets and basic accounting principles.
- Must be able to work independently to problem solve complex issues.
- Attention to detail and ability to multitask and meet deadlines are required.
- Excellent verbal, written, analytical, and interpersonal skills are required.
- Professionalism and discretion in dealing with confidential information is necessary.
