Description:
Seeking an experienced BSO to support the executive manager in a large state government agency
Responsibilities:
YOUR NEW ROLE
You will provide project and business support to the Deputy Director General, and work in partnership with officers across the department to support the groups’ function. Duties include, but not limited to:
- Process invoices, sponsorship proposals, contracts and coordinate appropriate endorsements/approvals.
- Review monthly office cashbooks – monitor expenses, ensure the coding is accurate and supporting documentation is compliant. Seek appropriate approval
- Review and coordinate travel proposals and approvals. Draft Ministerial briefing notes, where required. Manage travel reconciliations and submissions
- Maintain SharePoint – manage members, share content via posts and maintain files e.g. travel working files, templates and resources, cost centre/project code lists for overseas staff etc.
- Develop internal communications related to changes in policies and procedures
- Review and coordinate approval of forms, proposals and contracts – Cash Payment Vouchers, Credit Card Applications, sponsorship proposals, leases, conference forms, Gifts, Benefits and Official Hospitality forms, briefing notes etc.
- Records management – maintain records in OurDocs and Records Manager, including office/residential/motor vehicle leases.
- Process improvement projects and change management support.
- Draft Ministerial and other correspondence e.g. Briefing notes, responses to Parliamentary Questions, memos.
- Support ministerial coordination where required.
- Generate reports (financial, travel etc).
- Maintain contact/distribution lists for the group
- Other coordination tasks as required, e.g. Group updates, Business Plan updates.
What you’ll need to succeed
- Demonstrated finance, compliance and governance experience
- Demonstrated coordination or project management experience
- Previous government experience is preferred
- Due to the international travel aspect of the role, candidates with a demonstrated ability to work effectively with staff from different cultures and communication styles would be beneficial.
- Excellent attention to detail
- The ability to write fluently in different styles/formats
- The ability to prioritise many competing priorities
- A 100 point ID check and a recent National Police Clearance is required.
