Description:

COMPLIANCE

  • Ensure Contracts, are filed in a timely manner
  • ISRM assisting Generics and actively liasing with business unit as to the business records being kept and ensuring business units are deleting their records when required as per inventory

ESSENTIAL REQUIREMENTS:

  • Educated to A Level standard or equivalent · GCSE, Grade A-C, in Maths and English .A business qualification would be desirable
  • Very organised with excellent motivation with a proactive attitude
  • Able to work in a fast working environment
  • Previous administration/secretarial experience and working with Senior Management
  • Experience of organising events, booking hotel accommodation and meeting organisation
  • Good electronic record-keeping skills using Microsoft Office and web based tools
  • Quick adaptability to pick up different software program.
  • Experience of marketing materials and sign-off process is desirable

Responsibilities:

YOUR KEY RESPONSIBILITIES:

Your responsibilities include, but not limited to:

  • Provide administrative assistance to the Generics business unit as well as UK Sandoz business
  • Manage filing and tracking of CAF’s and contracts in timely manner & accurate naming
  • Responsible for ordering stationery for UK office including business card management
  • Ordering and managing office kitchen supplies
  • Responsible for incoming post and outgoing with specific focus on any customer/product complaints received
  • Organise complex and/or off-site internal/external meetings for the Generics BU as well as other departments when required liaising with the preferred supplier
  • Travel bookings/management through preferred supplier
  • Booking on-site lunches as required within department and as required by other Sandoz UK organisation
  • Liaising and working with Executive assistant on company wide events including maintaining event calendar
  • Maintaining admin sharepoint and g drive folder with up to date information/policies/how to do guides
  • Raise and manage purchase orders and track payments of invoices
  • Set up Vendors
  • Ensure purchasing card expenses done in timely manner
  • Tracking PSA spend
  • Supporting Sandoz UK managers with starter and leavers onboarding and offboarding
  • Manage GMT distribution lists and folder access Field force labels
  • Maintaining account/licences for MIA
  • Adhoc projects
  • Admin inbox mail management
  • Covering Specialty and Executive Assistant’s annual leave when required
  • Assisting with ISRM records inventory management for Generics
  • Assisting with all administrative activities as required by the business unit
  • Covering days in office in collaboration with Specialty and Executive assistant
