We are currently seeking a highly skilled and motivated Business Support Specialist to join our exciting organization! As a key member of our team, you will report directly to the Director of People and Culture. This position is the first touch point for customer service to both internal and external customers, and is also responsible for the smooth operation of our head office. This position primarily focuses on office management tasks, with additional responsibilities in reception duties and SharePoint administration. The Business Support Specialist is highly organized and proactive with excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. This position contributes to the overall efficiency and effectiveness of our office while providing exceptional administrative support and customer service.

QUALIFICATIONS AND EXPERIENCE

  • High school diploma or equivalent; additional certifications in office administration or related fields are a plus
  • Proven experience as an administrative assistant or office manager
  • Experience administering SharePoint sites
  • Excellent organizational skills and the ability to prioritize tasks effectively
  • Strong attention to detail and accuracy in all work
  • Advanced computer literacy including advanced working skills of MS Word, Excel, PowerPoint, and email are required
  • Outstanding written and verbal communication skills
  • Ability to maintain a professional and courteous demeanor in all interactions
  • Strong problem-solving and decision-making abilities
  • Discretion and confidentiality in handling sensitive information
  • Flexibility to adapt to changing priorities and deadlines

Salary Range: $50,000 - $60,00

Responsibilities:

Office/Administrative Support (50%)

  • General office management, including organizing supplies, managing packages, maintaining filing systems, providing administrative support, and managing office budgets
  • Reception duties, including greeting and welcoming visitors, answering and directing phone calls, and providing general information and assistance internally and externally over the phone, electronically, and in person
  • Collaborating with various departments to facilitate efficient communication and coordination
  • Maintaining the company’s SharePoint site, building new sites and auditing current sites as needed
  • Aiding the Executive Assistant and acting as coverage when necessary

Mainline Living Team Support (50%)

  • Assisting the VP of Property Management in the maintenance of their Outlook calendar and email account
  • Providing project assistance with building out PowerPoint presentations and Excel spreadsheets
  • Completing all company-related travel bookings for the Mainline Living team
  • Coordinating meetings, running meeting minutes, circulating updates to the agenda, and providing general administrative support for Mainline Living team meetings
  • Supporting the Mainline Living team with purchase order creation, coordinating team activities and workshops, and reconciling credit card expenses
