Description:

To provide comprehensive administrative support to Bay Hospitals
Charity Team as directed by the Head of Charity and Fundraising,
including preparation of agendas, minutes and follow up on action
as required.
To be first point of contact with donors, volunteers, supporters,
Trust staff and suppliers, providing a positive ambassador for the
Charity
To support the Head of Charities with specific projects, including
supporting effective processes to report on targets and manage

funding bids.

  • Responsible for the processing, importing, exporting, and other data held on the fundraising database for management purposes. Maintain practices and protocols to ensure data integrity and legal compliance are maintained.
  • To support the Charity Manager with oversight of the input and maintenance of the supporter database. Implement new entries as required to ensure accurate record keeping
  • To support the Charity Manager and team ensuring all donations are receipted and actioned and thanked where appropriate in a timely manner, in accordance with relevant procedures.
  • To log event entries and ticket sales via the donor database and circulate information to participants
  • Liaise with the management team, regarding diary management and organising meetings
  • Responsible for stock control and distribution of receipt books, receipting of donations, in accordance with Standing Financial Instructions
  • To be the first point of contact for all charity enquiries, and are dealt with in a timely manner and referred to the appropriate member of staff where necessary
  • To liaise and support the finance team to ensure the timely processing of charity expenditure adhering to the relevant procurement systems and authorisation procedures.
  • To provide administrative support to the Head of Charity and Fundraising and the wider fundraising team as necessary

We operate from three main hospitals-Furness General Hospital (FGH) in Barrow, the Royal Lancaster Infirmary (RLI), and Westmorland General Hospital (WGH) in Kendal, as well as a number of community healthcare premises including Millom Hospital and GP Practice, Queen Victoria Hospital in Morecambe, and Ulverston Community Health Centre.
FGH and the RLI have a range of General Hospital services, with full Emergency Departments, Critical/Coronary Care units and various Consultant-led services.
WGH provides a range of General Hospital services, together with an Urgent Treatment Centre, that can help with a range of non-life threatening conditions such as broken bones and minor illnesses.
All three main hospitals provide a range of planned care including outpatients, diagnostics, therapies, day case and inpatient surgery. In addition, a range of local outreach services and diagnostics are provided from community facilities across Morecambe Bay.

  • Working to defined policies and procedures, actively implementing the development of the electronic solution where feasible
  • Ensure the effective and efficient use of the charity’s resources.
  • Ensure that all duties are carried out to the highest professional standard.
  • Be aware of the responsibilities regarding Health and Safety
  • There may be the requirement to work occasionally at weekends and some evenings to fulfil the duties within a flexible working timetable (subject to agreement with the line manager, TOIL will be offered).
  • Ensure that all data is handled in accordance with the General Data Protection Regulations.
  • Respect the customs, values and spiritual beliefs of supporters, patients, carers and their relatives in the charity’s commitment to equality and diversity.
  • Maintain patient, organisational, colleague and donor confidentiality always unless specific written consent has been provided for the release of details.
  • Support the wider charity team as required at busy times
  • The postholder will be working in a developing environment and they will therefore be expected to undertake other appropriate duties consistent with the general remit of the post as required for the effective operation of the charity.
  • To undertake general charity and ad hoc administrative tasks as required.
