POSITION SUMMARY:

The Childcare Account and Registration Coordinator is responsible for overseeing the centralized billing, registration, recordkeeping procedures for the Childcare Branch. This role includes supervising the Childcare Account Specialists and ensuring accurate and efficient billing processes.

QUALIFICATIONS:

  • Must be at least 18 years of age and possess high school diploma or GED. A 2-year degree or applicable experience is preferred.
  • Six months or more of related customer service and clerical experience required.

Responsibilities:

  • Provides excellent service to program participants, their families, staff members, and other individuals.
  • Supervises, trains and supports Childcare Account Specialists, ensuring high performance and compliance with policies.
  • Manages the overall billing process, including accounts receivable for all childcare programs.
  • Provides excellent telephone and member service.
  • Develops and maintains billing policies and procedures to ensure consistency and accuracy.
  • Coordinates with Childcare Directors and other staff to resolve billing issues and improve processes.
  • Oversees the preparation and distribution of daily, weekly, and monthly billing reports.
  • Ensures compliance with the Child and Adult Care Food Program (CACFP), Title Twenty (TXX), Early Learning Initiative (ELI), and other relevant billing requirements.
  • Handles complex billing inquiries and disputes, providing solutions and support as needed.
  • Communicates regularly with the Director of Call Center Operations regarding department performance and issues.
  • Is familiar with childcare information as outlined in the childcare and parent handbooks.
  • Proactively identifies and solves problems.
  • Follows appropriate safety guidelines.
  • Communicates to direct supervisor any concerns or incidents that may need follow-up.
  • Maintains and safeguards confidential information regarding program participants, families, and staff members.
  • Carries out other duties as assigned by the Director of Call Center Operations or Management Staff.
  • Attends Child Care meetings.
  • Reconciles Title XX payments.
  • Conducts Weekly Call Audits for Childcare Account Specialist.
