Secure Services Clinical Services Administrator

This varied and interesting role provides administrative support to the Primary Care function within Secure Services. You will be responsible for the organisation and coordination of various clinics held within the Primary Care area of Fromeside. You will act as liaison between the clinic services and all wards in Secure Services.
You will have to use initiative and judgement, working within procedural guidelines of a medium secure unit. Applicants will demonstrate the ability to work independently and flexibly, possessing excellent communication and organisational skills. A good understanding of confidentiality is essential.
You should have previous administrative experience and possess a good working knowledge of Microsoft Office packages. Experience of working on RiO or other systems would be desirable.
This is a full time post of 37.5 hours per week, 9am to 5pm, working as part of the IM&T Team based in Secure Services Local Delivery Unit, on the Blackberry Hill site in Stapleton, Bristol.
We are looking for an enthusiastic self-motivated person who can work under pressure, using their initiative, professional attitude, and
administrative skills to support the ongoing development and smooth running of the service. The post holder will provide support to the Primary Care team and will need to have a flexible and adaptable approach to conflicting demands and deadlines.
The role will involve competent use of IT systems used within AWP, for which training will be provided. Duties will include monitoring a mailbox, booking appointments onto the system, liaising with the wards, acting as a main point of contact for the area based on the reception desk, note taking for team meetings, typing referral letters and preparing weekly appointment letters.
You will manage your own workload, ensuring that work is prioritised and dealt with in a timely manner. You will have an innovative approach to team working. You will receive supervision, support and guidance from your line manager.

Excellent communication skills, written and verbal, with a wide range of people, including outside organisations.
Exchange verbal and written information with patients and staff relating to appointments.
Work within a multi-disciplinary environment ensuring that communication with appropriate team members is effective.
To receive and open mail (paper and electronic) and distribute/despatch accordingly ensuring appropriate action is taken with high priority documents and items.
To manage both telephone and face to face contacts with service users in a supportive and empathetic manner.
Type patient letters/emails as required, deal with telephone/face to face enquiries from patients.
Input accurate and up to date patient data onto the AWP RiO system.
Collect performance data onto Excel spreadsheets for reporting purposes, as directed by the IMT Coordinator.
Ensure admin systems are maintained to prompt bring forward information or follow up what is required for appointments, meetings etc and for outstanding work that has been requested by a set deadlines.
Take and distribute minutes at team meetings.
