PRIMARY DETAIL

  • Salary Package: From $104,726 to $113,545 (HEW level 7), plus 17% employer’s superannuation and annual leave loading
  • Appointment Type: Full time, continuing
  • 35 hour working week with opportunities for flexible working arrangements
  • Macquarie University (Wallumattagal Campus, North Ryde) location

Responsibilities:

This newly created role will provide financial and accounting support for a complex portfolio of processes supporting Clinical Trials across two controlled entities. The role will oversee financial services (including revenue, expenditure, budget management and intercompany transfers and comprehensive reporting) from clinical trial clinic management through to MQ Health salaries and services, and the accurate allocation of costs and revenue across a large portfolio of clinical trials. This role ensures accurate and compliant financial transactions across clinical trial and across companies and will enhance stakeholder management. Reporting to the Clinical Trials Unit Finance Manager, this role will have the following key accountabilities.

  • Financial Oversight: Manage budgeting, reporting and compliance for clinical trials, aligning financial activities with organisational goals and ensuring accurate financial records.
  • Strategic Planning: Contribute to strategic initiatives leveraging financial insights to guide decision making and process improvements to optimise clinical trial success.
  • Complex Transactions:
  • Process intricate financial transactions, including salary allocations, intercompany agreements, month end and year closing activities, preparation and review of monthly/quarter) and review of respective trials balances and reconciliations.
  • Establish new accounts, update and close of all general ledger and project accounts in the finance system for the CTU and ensuring accuracy and compliance with relevant University policies
  • Process and reconcile Clinical Trials financial transactions, including purchase orders, payment and invoice requests and invoicing for the CTU, both internally and externally with clinical trials sponsors and relevant other external vendors.
  • Manage Service agreements with clinicians / contractors /providers and ensure compliance to Uni policies
  • Work with Uni Procurement /IT team on new/renewal of specialised licences agreement applicable for the CTU like Realtime, Odyssey etc.
  • Support implementation of accounting processes and new system rollouts
  • Manage primary analysis presentations to stakeholders, including CTU-MQ health financial performance
  • Oversee management of residual funds and support year end project roll-forward
  • Identify, design and implement process improvement in areas of responsibility
  • Support provision of data for external audit
  • Management reporting: Generate and present comprehensive reports on revenue, expenditure and variances against budget and highlight and review any discrepancies in accordance with the University project ledger policy.
  • System expertise:
  • Provide expert knowledge of Clinical trials management system to manage, address and resolve user queries as well as providing system training to new staff.
  • Provide financial, purchasing, reimbursement, travel administrative services and support to CTU staff as required.
  • Support the application of finance policies and procedures/internal controls across finance related activities across clinical trials.
  • Asset Management – provide information to support the valuation of high value assets and reporting to group finance
  • Data Reconciliation: Collaborate with Clinical Operations for accurate trial data reconciliation.
  • Stakeholder management: Develop and foster relationships with trial Sponsors as well as CTU vendors

About You
You will be a degree qualified with extensive financial experience (e.g. 5+ years) in a complex environment, ideally in clinical trials. You will be an enthusiastic, proactive and result-driven individual with a strong focus on quality and customer service. You will have excellent attention to detail and exceptional communication skills.
To be successful, you will draw on your significant analytical experience preferably in a group or corporate setting and possess. You will have strong financial acumen and be confident in intercompany accounting, reconciliations and management reporting. Your ability to undertake financial modelling, analyse information, identify trends and prioritise issues are key attributes to deliver in this role.
Your consulting and collaboration skills coupled with your ability to make considered and effective decisions will ensure you will succeed as will your proven ability to work independently and as part of a team, handling multiple projects and deadlines effectively.

Clinical Trials Unit (CTU)
is part of the Faculty of Medicine, Health and Human Sciences (FMHHS) at Macquarie University. FMHHS also has the Macquarie Medical School, the Macquarie University Private Hospital, and runs patient clinics, labs, imaging and a pharmacy all on campus in close proximity to support clinical trials, and support providing patients with access to state of the art treatments. The CTU undertakes sponsored and investigator initiated Phase I to IV trials across multiple therapeutic areas with multiple Principal Investigators. Our current team of over 60 staff (managing over 160 trials) are a close knit inclusive team with a supportive culture that values team work and innovation.

Essential Selection Criteria

  • Relevant qualification in business, finance or accounting qualifications (CPA/CA) and/or experience’ (> 5 years ) in finance, or accounting
  • Excellent communication and collaboration skills including a demonstrated track record in building and managing relationships with a diverse range of stakeholders
  • Excellent working knowledge of budgets and accounting and analysing/reporting on data and providing accurate and timely information/reports
  • Strong track record in providing general finance guidance and support in a complex and fast paced environment
  • Substantial experience in month end close processes and the preparation of complex financial statements
  • A strong track record of and experience in intercompany accounting and reconciliations and management reporting
  • Working knowledge and experience in a clinical trials environment along with system implementation and roll out experience will be highly regarded
