Description:

PRINCIPLE ACCOUNTABILITIES:

  • Managing the regions receipting
  • Coordinate the register for SMAS registrations
  • Code invoices on tracker and assign to the correct department
  • Process utility invoices and send to relevant department for authorization
  • Assist in production of forms for client extras and pass to departments to log
  • Sub-contractor verifications, issuing notifications
  • Organise and distribute mail for the Commercial and Technical team
  • General administration assistance to the team including; preparation of letters, emailing, maintaining general records, taking messages, scanning, filling, typing, photocopying, taking and distributing minutes (this is applicable to both roles)
  • Assist in subcontractor procurement, preparation of tender packages, respond to enquiries.
  • Supporting Technicians in information issue in Viewpoint including thorough distribution transmittal’s, hard copies where required and QR codes.
  • Other ad hoc office duties as required for holiday cover.
  • Control document hosting system (Viewpoint4Projects).
  • Maintain a library of consultant contract letters, Agreements & PI insurances

Responsibilities:

We are looking for an Administrator to provide a full and professional administrative support service to the Commercial and Technical Department. In addition to the key responsibilities and duties indicated below, the post holder will assist with any other ad hoc duties to ensure the smooth running of both departments.
