Responsibilities:

ROLE:

Aimsun is seeking a highly motivated and forward-thinking team member for a role split between commercial operations, office administration and finance assistance.
In this role, you will provide excellent customer service and support to Aimsun’s clients and business partners in the Asia Pacific (APAC) region, while ensuring the smooth and efficient operation of the regional commercial activities. As a Commercial Operations Specialist, you will report to the Head of Commercial Operations for the responsibilities of managing the commercial operations, while supporting business development, bookkeeping and finance tasks. You will also report to the Managing Directors of the Aimsun companies based in Singapore and Australia for the duties of overseeing the office administration and compliance with the legal entity requirements.

RESPONSIBILITIES:

The roles and responsibilities of this position include but are not limited to the following:

OFFICE ADMINISTRATION TASKS INCLUDE:

  • Management of the office operations
  • Sourcing and liaising with vendors and suppliers
  • Organise team, commercial and business development events
  • Management of industry associations accounts
  • Maintain business operational requirements, insurance, government paid-leave reimbursement, etc.
  • Support travel and expense claims vetting
  • Provide support and inputs to workplace health & safety practices, ISO certification, business transformation initiatives and system/process improvements

BOOKKEEPING AND FINANCE TASKS INCLUDE:

  • Assist with annual financial audit
  • Provide the day-to-day efforts needed to record and assess basic accounting data
  • Manage all accounts Payables and Receivables
  • Manage internal (intercompany) invoicing
  • Prepare external payments using internal finance tools or online banking platform for authorisation
  • Support the Finance Team at Aimsun group headquarters
  • Liaise with external accounting and tax agent for annual tax filing and monthly management accounts

COMMERCIAL OPERATIONS TASKS INCLUDE:

  • Handle customer inquiries and support, ensuring timely and professional responses.
  • Collaborate with cross-functional teams to ensure alignment with commercial strategies.
  • Provide the first line of sales information, providing descriptions of our services, prices and discounts
  • Support customers in finding the best match for their needs
  • Process orders and transactions, issuing accurate offers and invoices using standard accounting software
  • Resolve issues and provide basic troubleshooting for software license use and maintenance
  • Collaborate efficiently with other teams as necessary, particularly Business Development, Finance and Professional Services
  • Record all CRM activity on Salesforce and maintain up-to-date records
  • Provide proactive customer outreach, for example, contacting customers before their subscription expires to promote a renewal or upgrade
  • Support commercial budget and revenue projections
