WHO WE ARE SUPPORTING

The NATO Communication and Information Agency (NCIA) is responsible for providing secure and effective communications and information technology (IT) services to NATO’s member countries and its partners. The agency was established in 2012 and is headquartered in Brussels, Belgium.

The NCIA provides a wide range of services, including:

  • Cyber Security: The NCIA provides advanced cybersecurity solutions to protect NATO’s communication networks and information systems against cyber threats.
  • Command and Control Systems: The NCIA develops and maintains the systems used by NATO’s military commanders to plan and execute operations.
  • Satellite Communications: The NCIA provides satellite communications services to enable secure and reliable communications between NATO forces.
  • Electronic Warfare: The NCIA provides electronic warfare services to support NATO’s mission to detect, deny, and defeat threats to its communication networks.
  • Information Management: The NCIA manages NATO’s information technology infrastructure, including its databases, applications, and servers.

Overall, the NCIA plays a critical role in ensuring the security and effectiveness of NATO’s communication and information technology capabilities.

ESSENTIAL SKILLS AND EXPERIENCE

  • Strong written and verbal English communication, organizational, and interpersonal skills.

  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with event planning software and technology.

EDUCATION

  • Bachelor’s degree in Event Planning, Hospitality, or a related field

Responsibilities:

They will be responsible for assisting with the planning, process mapping and execution of CLOs at the NCI Academy in Oeiras, Portugal. This position will answer to the Training and CLOs Coordination Section Head for the following duties:

  • Creation of CLO processes for all forms and for all types of customers.
  • Manage and assist in creating and requesting promotional materials, including invitations, signage, and programs
  • Coordinate or assist with CLO logistics, including transportation, catering, and audio/visual requirements.
  • Execute the communication plan and liaise with CLO Points of Contact, NCI Academy Enabling departments, vendors, sponsors, and other stakeholders through emails and phone calls.
  • Develop communication plans and materials, including press releases, newsletters, and website content.
  • Create CLO sponsorship packages.
  • Establish CLO timelines and schedules, ensuring all parties involved are informed.
  • Support the setup and breakdown of CLO venues, includingfurniture arrangement, decoration, and managing equipment rentals.
  • Assist in managing CLO budgets, track expenses, and reconcile invoices.
  • Develop an outsourcing plan for CLOs as needed.
  • Provide on-site support during CLOs, managing registration, welcoming attendees, and addressing any issues that arise.
  • Conduct post-CLO evaluations to collect feedback and assess the success of the CLO, including generating evaluation reports.
  • Maintain accurate records of CLO details, including attendee lists, vendor contracts, and other pertinent information.
  • Undertake additional tasks as directed by the CLO coordinator or supervisor
