Description:

The Contractor Coordinator plays a pivotal role in the effective management of contractors and ensuring the seamless operation of our recreational and high-performance sport facilities. This role involves overseeing various aspects of contractor management, from selection to evaluation, and collaborating with the Operations team to align operational and capital projects with facility needs and schedules.

Responsibilities:

  • Support and Update the WinSport Contractor Management Program:
  • Work with the Operations and Safety teams to maintain and implement the Contractor Management Program, ensuring compliance with industry standards and safety regulations.
  • Regularly review and update program procedures to enhance efficiency and effectiveness.
  • Identify opportunities to maintain the Contractor Management Program in collaboration with the Events and Operations Team.
  • Collaboration with Operations Staff:
  • Work closely with the Operations team to identify facility needs and prioritize projects based on minimal asset down time and budgeted spend.
  • Develop project schedules that minimize disruptions to facility operations and maximize efficiency – understanding what is needed to execute the project.
  • Facilitate clear communication between contractors and Operations team to ensure project alignment.
  • Work closely with the Operations team to ensure compliance and follow through with contractors daily, as needed.
  • Contractor Selection:
  • Collaborate with relevant teams to identify project requirements and specifications.
  • Conduct assessments and follow the pre-qualification/ selection process to identify approved contractors.
  • Manage the bidding process and negotiate contracts to secure competitive pricing and quality services.
  • Site Orientation:
  • Provide and confirm comprehensive site orientations to contractors and project visitors, emphasizing safety protocols and facility-specific guidelines.
  • Ensure contractors are well-informed about their responsibilities while on-site and follow the Safe Work Permit requirements.
  • Ensure contractors are aware of the scope of work and locations.
  • Contractor Evaluation:
  • Monitor and document contractor performance throughout projects, assessing adherence to timelines, budgets, and quality standards.
  • Implement performance evaluation mechanisms to track contractor performance and identify areas for improvement.
  • Address any issues or discrepancies promptly and in accordance with contractual agreements.
