We have a fantastic opportunity to join the Conveyancing team as a Conveyancing Assistant where you will work as part of a national team.
The Opportunity
We have an exciting and newly created Conveyancing Assistant role within Group Legal and Risk, based in Melbourne. You will assist the State Conveyancing Manager and the rest of the national team with data entry, admin work, running reports, and support with contract exchanges.
Based in our Melbourne head office on Collins Street, this role offers the flexibility to balance working from the office and home.
This role is being recruited on a full-time contract basis until February 2025

Responsibilities:

YOUR TASKS WILL INCLUDE:

Investigating and rectifying data misalignment between systems
Organise and complete tasks, complete reports, and daily settlement diaries within set timeframes
Perform information management including collection and maintenance of files/records, correspondence and project/settlement files for easy retrieval
Assist in maintaining appropriate systems, procedures and controls
Entering customer and file information into Stockland systems (SAP, Salesforce)
Assist and support the team to meet agreed contract exchange timeframes and settlement targets
Identify organisational improvement initiatives
Assist the team with conveyancing file management including processing of nominations, duties online preparation.
Send out notices of disposition and other settlement notifications including registration notifications via use of mail-merge tools
About you
We are looking for someone with a genuine interest in and passion for the legal field. You may have come from administration in a law firm or a real estate company, for example. Tech savvy, you must be well versed with Microsoft Office suite, and any exposure to DocuSign would be a bonus. A natural communicator, you will be able to liaise with stakeholders easily and thrive in a fast-paced environment. This role is data heavy, so an interest in data entry and repetition will see you go far in this role.

TO BE SUCCESSFUL IN THIS ROLE YOU:

1-2 years’ experience in a team office environment, subject to work pressures and competing deadlines
Experience using Microsoft Windows applications
Experience within a real estate or legal office preferred
Strong attention to detail and data entry accuracy
Organisational and time-management skills
