Job Title: Coordinator, Projects
Reports To: VP, Projects
Working Hours: Normal office hours are 08:30 to 17:30
Place of Work: 600 Vine Street, Suite 1700 Cincinnati, OH 45202

JOB SUMMARY
The Coordinator, Projects will play a crucial role in supporting the Vice President, Projects in managing and executing design projects from conception to completion. This position requires a highly organized, detail-oriented individual with excellent communication skills and a passion for design and project management. The Coordinator, Projects will be responsible for handling communications and tasks across various aspects of the project lifecycle.

Project Coordination:
- Report directly to the VP of Projects, seeking mentorship, project opportunities, guidance and support on development within the department.
- Coordinate project schedules, resources, equipment, facilities, travel and information.
- Liaise with internal and external stakeholders to identify and document project requirements, scope, and objectives
Qualifications & Skills:
- Bachelor’s degree in Project Management, Business Administration, Design, or related field.
- 2-4 years of experience in project coordination or management, preferably within the design, architecture, or themed entertainment industry.
- Strong organizational skills with an ability to manage multiple projects and tasks simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in project management software (e.g., Wrike, MS Project, Trello, Asana).
- Knowledge of design software and ability to understand scale drawings (e.g., AutoCAD, SketchUp) is a plus.
- Ability to work collaboratively in a team environment.
- Strong problem-solving skills and attention to detail.
- Ability to work under pressure and meet deadlines

Responsibilities:
ROLE & RESPONSIBILITIES:
Project Coordination:
- Report directly to the VP of Projects, seeking mentorship, project opportunities, guidance and support on development within the department.
- Coordinate project schedules, resources, equipment, facilities, travel and information.
- Liaise with internal and external stakeholders to identify and document project requirements, scope, and objectives.
Communication:
- Maintain effective communication with internal teams, clients, freelancers, subconsultants and stakeholders.
- Prepare and distribute project-related documents such as proposals, contracts, design packages and reports.
- Organize and facilitate project meetings, including preparing agendas and taking minutes.
- Coordination and communication with VP, Design and the respective design team members on associated projects.
Resource Management:
- Assist in the allocation and documentation of project resources, ensuring efficient use of staff and materials.
- Track project performance, specifically to analyze the successful completion of short- and long-term goals.
Documentation and Reporting:
- Create and maintain comprehensive project documentation, plans, meeting minutes, and reports.
- Monitor project progress and handle any issues that arise.
- Ensure documentation is maintained appropriately for each project.
- Maintain accurate tracking of action item follow up for internal and external stakeholders.
Budget and Financial Tracking:
- Assist in monitoring project budgets and expenditures.
- Assist Project Management team in tracking project costs and ensuring accurate P&L tracking as required.
- Report any budgetary concerns to the Vice President, Projects.
Risk Management:
- Identify potential project risks and issues.
- Assist Project Management team in developing risk mitigation strategies and contingency plans.
