REQUIREMENTS AND IDEAL PROFILE:

  • Bachelor’s degree in marketing, communications, hospitality management, or a related field.
  • Proven experience in corporate event planning and coordination, preferably in the healthcare or medical devices industry.
  • Strong project management skills, with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and external partners.
  • Attention to detail and problem-solving abilities, with a focus on delivering high-quality events that exceed expectations.
  • Proficiency in event management software and tools, as well as Microsoft Office Suite (Word, Excel, PowerPoint).
  • Willingness to travel domestically and internationally as needed.

Responsibilities:

ABOUT THE ROLE:

Our client is a leader in health care specialising in medical devices. We are seeking a highly organized and detail-oriented Corporate Events Coordinator to join their dynamic team. As a key member of their Marketing and Events department, you will be responsible for planning, coordinating, and executing corporate events. From conferences and trade shows to seminars and product launches, you will play a pivotal role in ensuring the success of their events, enhancing their brand presence, and fostering meaningful connections with stakeholders.

KEY DUTIES:

  • Event Planning: Collaborate with internal stakeholders to understand event objectives, develop event strategies, and establish clear timelines and deliverables.
  • Venue Selection and Logistics: Research and select appropriate venues for events, negotiate contracts, and manage all logistical aspects, including transportation, accommodations, catering, and audiovisual requirements.
  • Budget Management: Develop and manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
  • Vendor Coordination: Identify and liaise with external vendors, including event planners, decorators, caterers, and AV technicians, to ensure seamless execution of events.
  • Marketing and Promotion: Work closely with the marketing team to develop event marketing plans, create promotional materials, and execute marketing campaigns to drive attendance and engagement.
  • Attendee Management: Manage event registration processes, coordinate attendee communications, and provide support to participants before, during, and after events.
  • On-Site Event Management: Oversee all on-site event operations, including setup, registration, catering, AV support, and troubleshooting, to ensure a smooth and successful experience for attendees.
  • Post-Event Evaluation: Conduct post-event evaluations to assess event effectiveness, gather feedback, and identify areas for improvement.
  • Compliance and Risk Management: Ensure compliance with relevant regulations, company policies, and industry standards, and proactively address any potential risks or issues related to events.
  • Stakeholder Communication: Maintain regular communication with internal stakeholders, including marketing, sales, and executive teams, to provide updates on event planning progress, solicit input, and address concerns.
