Responsibilities:

  • To serve as a Corporate Secretary for XNT Ltd which includes attending Board Meetings, handling meetings related documentation, assisting in scheduling Board Meetings and communicating with the Board members if needed.
  • Documentation and Record Keeping: Maintain the companies statutory registers and records, encompassing the register of shareholders, directors, and other relevant documentation.
  • Compliance Department Meetings Coordination: Organize and prepare compliance department meetings, including scheduling, creating agendas, tracking action items and taking minutes.
  • Reporting: Help with the preparation of monthly reports for senior management and regulatory bodies that reflect the compliance status of the firm.
  • Communication: It would be helpful to facilitate effective communication internally within Compliance and with other departments as needed, as well as track external communication with regulatory bodies, consultants, legal advisors etc.
  • Support Compliance Initiatives: Provide administrative support for compliance projects, such as implementing new regulations or rolling out compliance-related software or training programs.
  • Training Coordination: Support in arranging training sessions for staff on compliance matters, including the scheduling and tracking of mandatory compliance training.
  • Compliance Audits: Assist the compliance team in compliance audits and reviews, and help compile information requested by auditors or examiners.
  • Internal Databases: Help track internal requests and projects on Kissflow, Confluence & Jira.
