Job Purpose Statement
The Project Cost Control Admin is a role within the Offshore Business focussing on the delivery of support to the Cost Control Team in an offshore wind project.
Belonging to the Project Controls Team and reporting to the Lead Cost Control Manager, the Project Cost Admin will be supporting the project team in the day-to-day Cost Control tasks, in the development, maturing and analysis of the Project overall budget and costs.
Support in the control and monitoring of project total expenditure including verifying and checking of invoices and claims from suppliers and subcontractors to ensure that all project expenditures are captured and properly recorded.

Accountability Statements

  • Manage delivery of day-to-day Cost Control support.
  • Ensure correct tracking of expenses.
  • Administration support and administrative assistance to the members of the Cost Control Team during the Execution phase.
  • Manage delivery of Cost Control within the project supporting the Lead Cost Control Manager and coordinating interfaces.
  • Ensure payments, estimates, forecasts, and accruals are delivered on time.
  • Ensure the delivery of controlled budgets is appropriate and consistent with IBR strategy and delivered according to specification.
  • Support the Lead Cost Control Manager with Cost Control reporting.
  • Forecasting expenditures
  • Support in the control and monitoring of project total expenditure including verifying and checking of invoices and claims from suppliers and subcontractors to ensure that all project expenditures are captured and properly recorded.
  • Classifying costs by type.
  • Verifying supplier invoices.
  • Processing of invoices in cooperation and on behalf of Budget Owners.
  • Cooperation with Fiscal Department to get invoices evaluated accurately.
  • Registration of new suppliers in SAP and tender tool.
  • Provision of tender support to the project team for centralised tenders and management of delegated tenders.
  • Organisation of SAP trainings and SAP ad-hoc support.

Skills, Knowledge & Experience

  • Ability to manage interfaces effectively to deliver required outputs in a timely manner.
  • Support in the following processes:

  • VoWD
  • Manual accruals request
  • Cost variance Analysis Report
  • Monthly Cost Control Report
  • Work as part of the team that maintains the cost structure, creation of purchase requisition, direct purchase orders, commitment reporting, closure of exhausted purchase orders.
  • Effective communication and interpersonal skills.
  • Competent report writing, presentation skills and ability to summarize parameters and drivers impacting the Cost Control function.
  • Producing reports and creating new be-spoke information to answer the project particular needs.
  • Sound planning and analysis skills with the ability to look forward and see/ anticipate problems.
  • Problem solving – dealing with conflicting requirements.
  • Giving advice to teams on build ability/ delivery issues.
  • Ensure that all recommendations are documented, and sufficient due diligence exists to support decisions (whether internal or external diligence).

  • Degree and professional qualification in business administration or related degree.
  • IT literate with the ability to operate MS Office systems and other IT based project management software. (SAP, Advanced Excel skills VBA)
  • IT literate on document management systems
  • IT Power-BI expertise, medium level.
  • Flexible to travel periodically to attend meetings and work at different project sites in several countries thought northern Europe and USA, particularly UK, France, Denmark, Spain and England.
  • Good knowledge of large-scale projects.
