About the Role

  • Provide administrative support to clients and staff within the facility such as:
  • Effective communication answering switchboard and undertaking reception duties including enquiries, face to face enquiries providing assistance and redirection where appropriate, making and taking of accurate messages.
  • Demonstrated ability in time management, organisational and prioritisation skills, with daily general administration duties, photocopying, scanning, data entry, incoming and outgoing correspondence including distribution of mail/parcel deliveries received at the centre for all staff.
  • Demonstrated ability to use Microsoft Office to produce, letters, fact sheets, newsletters, spreadsheets, minutes, agendas and PowerPoint presentations.
  • Maintain client records including registering, document filing, prepping, scanning, quality assurance and tracking of client charts utilising Health Information Management Systems: Community Health Information Management System (CHIMS), ERIC and Integrated Electronic Medical Record (ieMR).
  • Assist with contractors ensure attendance book is completed correctly signed/dated when contractor enters/exits the building.
  • Coordinate and maintain motor vehicle bookings, maintaining detailed records by collating and report of mileage sheets, cleaning, maintenance and servicing and fleet management utilising Utilisation Management System (UMS) and Betasphere.
  • Ensure the work environment and administrative equipment is maintained in good working condition and escalating issues as required.
  • Maintaining adequate stationery available for the day to day functioning of the area.
