Description:
A growing healthcare association in seeking a Data Support Specialist to provide administrative support to their operations department.
Responsibilities:
- Manages calendars and schedules virtual and in-person meetings for the department
- Provide administrative support across all data programs, including coordinating Marketing activities
- Assists with preparing and disseminating meeting materials and communications, including emails, agendas, readaheads, PowerPoint presentations, notes, and meeting summaries
- Attends meetings and conference calls as needed
- Documents and disseminates action items and key points from meetings
- Adds project information to standard contracts and submits them to general counsel
- Supports data projects by monitoring project deadlines and clients’ payment schedules
- Processes and reconciles receipts and invoices
- Conducts online searches to obtain required information
- Orders office supplies
- Coordinates the development and completion of monthly Data reports, Board informational reports, and Data Committee meeting materials in Word and PowerPoint formats
- Reviews and proofreads written reports, PowerPoint presentations, online surveys, and data summary tables for spelling and grammar errors and inconsistencies
- Performs other duties as assigned
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Experience with answering inbound and outbound calls in a professional manner.
- Strong customer service skills and ability to handle customer queries and complaints.
- Ability to perform data entry tasks with high levels of accuracy and attention to detail.
- Proficiency in handling email correspondence professionally and efficiently.
- Ability to schedule and manage appointments effectively.
- Excellent interpersonal skills and ability to work in a team.
- Strong organizational skills and ability to multitask.
- Previous experience in an administrative role within a Clinical Research Organization is preferred.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Demonstrated ability to work under pressure and meet tight deadlines.
- Willingness to learn and adapt to new technologies and tools.
