Description:
JOB SUMMARY
Under general supervision, provides a wide variety of data management functions for the program, including oversight of the Child Development and Family Support Programs (CDFS) client database system. Compiles and analyzes data, and prepares reports/recommendations for action by supervisor.
MINIMUM QUALIFICATIONS
- Associate degree in information technology, computer science, business administration or related field
- Three (3) years of experience in data entry and reporting
At the College’s discretion, additional qualifying education/experience may substitute for education/experience, on a year for year basis
- Basic knowledge of word processing and email, and intermediate knowledge with spreadsheets and database programs.
- Experience working with diverse backgrounds of the College’s community, students and employees; demonstrated commitment to promoting access and diversity
DESIRED QUALIFICATIONS
- Bachelor’s degree in business administration or related field
- Bilingual skills: oral and written fluency in English with fluency also in Spanish, Russian or another language that meets community/department’s needs
- Experience using Child Plus database system
OTHER REQUIREMENTS:
- Must be enrolled in the Oregon Central Background Registry prior to beginning employment and enrollment must be maintained throughout employment
- Post-offer fitness for duty evaluation, must be obtained within 30 days of hire date:
- TB screening
- Health appraisal
- Recognizing and Reporting Child Abuse & Neglect training must be completed within 60 days of hire date
- Introduction to Child Health and Safety training must be completed within 30 days of hire date

Responsibilities:
POSITION SPECIFIC DUTIES
- Provides oversight of the CDFS client database system, including module set up under the direction of the ERSEA and Data Manager and Integrated Technologies Specialist. Creates new fields, adjusts tables, uploads data, and performs other customizations in response to program needs.
- Collaborates with ERSEA to manage and monitor application intake process. Coordinates with specialist to ensure applications are assigned to team members, assists with tracking applications, and provides auditing and tracking reports to ensure completion.
- Participates in ongoing monitoring of the CDFS’s primary database system, ChildPlus using assigned self-assessment activities in accordance with Head Start Performance Standards.
- Works with central program managers to develop forms, procedures, and reports associated with the CDFS client database and other program data systems. Provides recurring and ad-hoc reports for operational and program reporting needs.
- Enters, maintains, and audits records in the CDFS client database to ensure data is up-to-date and accurate.
- Creates student identification numbers in the Oregon state educational database
- Prepares and maintains accurate and timely reports.
- Trains and assists staff in use of the CDFS client database system.
GENERAL DUTIES
- Reports suspected child abuse in accordance with Oregon Statute and Head Start procedures.
- Ensures compliance with Head Start Performance Standards.
- Attends training sessions and participates in training opportunities.
- Works as a team with staff in providing services to children and families.
- Maintains the confidentiality of highly sensitive information.
- Interacts with children, families and community members in a supportive and professional manner.
ADDITIONAL DUTIES
- Provides office coverage as needed.
- Performs all other related duties as assigned.
