CMC are hiring! We have a permanent opportunity for an Estate Administrator to join our Business Operations team, based in our Barangaroo, Sydney office. Please note that we operate onsite working and would need someone to come into our Barangaroo office 5 days per week.
This position is only open to Sydney based candidates with full, permanent working rights (Permanent Resident/Citizen).

KEY SKILLS AND EXPERIENCE

Essential:

  • Prior estate management experience
  • Prior industry experience with equity and/or options processing
  • Experience with Microsoft office products
  • Strong customer service orientation
  • Operates with integrity and a highly client centric mindset, with an ability to build and enhance strong and meaningful client relationships
  • Excellent verbal and written communication skills
  • Ability to work effectively as part of a team

Desirable:

  • Experience with GBST Shares™ and DCA™ or a similar options back office system
  • ASX – scrip / settlements of corporate action experience

Responsibilities:

ROLE PURPOSE

The Deceased Estates Administrator’s primary function is to provide professional, efficient and specialised management of client estates.
The Estate Team is responsible for providing clients with a dedicated administrative service to support individuals, trusts and power of attorney estates, ranging from simple to complex estate matters.
They are a single point of contact for clients to arrange the transfer and/or sale of equity holdings as per the Executor’s instructions, ensuring the beneficiaries’ and customers’ needs are prioritised and satisfied within the provisions of relevant Acts, Regulations and office procedures.
The Estate Team understands how sensitive estate matters can be and as such, works with sensitivity and the highest attention to detail to ensure that all requests are handling in a sensitive, timely and compassionate manner.

ROLE RESPONSIBILITIES

The Deceased Estates Administrator will work within a collaborative team, with both client service and operational responsibilities.

Key Responsibilities:

  • Provide excellent, accurate and high calibre client service to ensure a positive experience for all clients, acting as a brand ambassador in all client interactions.
  • Monitor and track all open estates in progress, in line with SLAs and industry timeline requirements. Ensure these are followed up in a timely manner with detailed and accurate instructions provided to the client.
  • Proactively respond to all client enquiries in a professional and attentive manner, and where applicable provide clients with process and platform education.
  • Identify opportunities to improve the client experience, and implement changes through clear communication and process changes both internally and externally.
  • Maintain KPI and SLA targets, both Individually and as a team.
  • Escalate all client issues in a timely manner to appropriate levels to ensure a consistently high level of client service.
  • Assess and respond to documentation required and completed, to ensure compliance with company standards, regulatory requirements and Australian law.
  • Manage the locking and unlocking of HINs when needed, within the regulatory timeframe
  • Processing of Off Market Transfers to Beneficiaries.
  • Investigate and assess Trust Deeds, ASIC searches and general Estate documents to ensure compliance and completeness.
  • Communicate with appropriate internal teams to maintain a smooth front to back experience for all involved, ensuring the least disruptive outcome for the clients and beneficiaries affected.
