Position: Department Secretary Department Name: Nursing Adm.
Position Reports To: Coordinator, Patient Care Svcs.
Education: high school
Experience: Previous secretarial experience preferred
Skills: Strong computer skills (Microsoft Word, Excel), independence
and a high level of organizational, interpersonal and communication skills
Scope of Position: Provides, on a per diem basis, secretarial support to the Coordinator, Patient Care Services and Department of Nursing when the need arises or the Coordinator is unavailable.
Is also available to provide per diem coverage for the Staffing Scheduler position.
Responsibilities & Standards:

  • Provides word processing and photocopying services for individuals in Nursing Administration and assigned Nursing departments.

1.1 Accurately transcribes minutes from various committees/meetings and inputs in computer.

1.2 Types memos, letters, flyers according to accepted format within the time frame indicated by the writer.

  • Assists members of the Department of Nursing with various projects (i.e., nursing education programs, nursing forms, etc.)
  • Performs receptionist functions by handling walk-in visitors or telephone callers to the Nursing Administration offices.

2.1 Is professional, cordial and efficient to individuals both in person and on the telephone.
2.2 Takes time, date, person’s name, purpose of message and telephone number from callers to the Nursing
Administration offices.
2.3 Screens telephone calls for urgency following set guidelines.

2.4 Insures callers are supplied with accurate information or obtains the information from appropriate personnel.

  • Maintains Nursing Administration office files and files for the areas within the Nursing Department.
