Description:

We are looking for a friendly, efficient, flexible individual to provide a complete secretarial and administrative service to the Department of Nutrition and Dietetics based at Southmead Hospital . You will be a proficient and capable organiser who is able to work well under pressure as well as part of a team often unsupervised, using own initiative and judgment.
This post is both interesting and varied and will involve communicating with patients and the general public , as well as medical, nursing and support staff, so good people skills is essential .
The successful candidate will possess excellent keyboard (audio & copy) and organisational skills as well as close attention to detail supporting the Dietetics clinical team . To work well as part of a team whilst being able to use their own initiative to provide administrative support to the Nutrition and Dietetics clinical teams (both inpatient and outpatients) to ensure an effective high-qualty administrative service is provided.
Previous experience of working with Microsoft Excel, Word, and Outlook is a must , CareFlow experience will be an advantage although training will be provided.
North Bristol NHS Trust is the largest Trust in the South West region and one of the largest trusts in the country. Last year the Trust treated over 100,000 inpatients, over 35,000 outpatients, 90,000 emergency department patients and helped deliver over 6,000 babies. The Trust provides Medical, Surgical, Neonatal and Maternity Care for its local population of approximately a million people in Bristol, South Gloucestershire and North Somerset. The Trust also provides regional services in Neurosciences, Orthopaedics, Pathology, Plastic Surgery and Burns, Renal Medicine and Transplant and Urology and is the Major Trauma Centre for the West Country.
The health service in Bristol, North Somerset, and South Gloucestershire is being remodelled to concentrate on acute facilities and where appropriate to provide more care close to patient homes through a network community hospitals and facilities. The Trust recently moved the majority of its acute services to the Brunel Building, regarded as one of the best hospital facilities in Europe, on the Southmead Hospital Site. At Southmead Hospital, we also have our excellent maternity and women’s health services, the Bristol Breast Care Centre and the Trust’s Severn Pathology service.
Main Duties & Responsibilities Of The Post
Provide a complete secretarial and administrative service to the D ietetic s team at Southmead to include audio-typing , digital transcription, maintenance of patient record files and other office fili ng systems, photocopying and the composition of letters.
Co-ordinate referrals liaising with the centralised booking team regarding outpatient bookings.
To work in a team, providing cover as necessary and liaising with other hospital departments on issues such as booking meetings and m aint aining the material fabric and cleanliness of the department facilities.
Sort, distribute and prioritise incoming mail, using judgement and experience to decide which documents should be passed to the Clinical Lead and which may be passed directly to other areas for action and information.
Provide the first point of contact in the department for all telephone calls and personal callers to the department. Such contacts may include patients, members of the public, dietitians, medical and nursing staff, other NHS / professional associations. Use developed custome r service skills to obtain and give information as well as message taking.
Use judgement gained by experience to respond sensitively to patient enquiries or to recognise limits of knowledge and refer more complex queries to the appropriate dietitian .
Operate the answerphone and ensure it is functioning whenever there are no admin staff present in the department.
Receive written patient referrals and pass them to the appropriate dietitian .
Assist with administrative aspects of the clinical placement programme for student dietitians on behalf of the Dietetics Team.
Order non - stock items via EROS as required and check delivery notes against invoices.
Participate and attend admin team meetings, pro-actively making suggestions for service improvement and contributing to other events within the department.
Identify own training and development needs and undertake mandatory training as required
Other duties appropriate to the grade as agreed between the post - holder and manager from time to time
