JOB DESCRIPTION SUMMARY

We are looking for an experienced analyst to join our legal operations team to manage legal hold/collection processes globally. Strong preference for experience with Onit.
This role will (i) coordinate the issuance and management of legal holds, including tracking custodians and data on legal hold, and related discovery processes, procedures, systems and relationships with in-house and external counsel, vendors, and other business functions, (ii) Support and coordinates the forensic collections of company data in collaboration with in-house and external counsel, vendors, IT and other business functions. Documents and ensures timely compliance with legal requests; manage projects to completion, including regular check-ins with stakeholders, (iii) Utilizes knowledge of the Company’s infrastructure and areas of responsibilities in order to ensure and support preservation of electronic files (including, but not limited to email, user hard drives, phones, servers), (iv) Provides support and training to users of the Company’s eDiscovery/Legal Hold program.

QUALIFICATIONS:

  • Advanced knowledge of Legal Holds and eDiscovery principles and legal requirements.
  • Manage wing-to-wing Data Retention Notices (DRN)/Legal Hold process in close coordination with each practice group (draft/issue new DRNs, manage existing ones, and DRN releases).
  • Independently interact with attorneys, paralegals, HR, IT, and custodians on a daily basis and timely respond to legal hold inquiries.
  • Supports and coordinates the forensic collections of company data in collaboration with in-house and external counsel, vendors, IT and other business functions.
  • Administer Legal Department owned systems for LH and eDiscovery including system upgrades and process improvements.
  • Assist in building policies, procedures, and training material and facilitating training sessions for attorneys, paralegal, and custodians on legal hold process.
  • Manage integrations with downstream systems/processes as it relates to Legal Hold (e.g., O365, Workday, Service Now).
  • Develop, implement, and iterate on appropriate metrics (KPIs) on Legal Hold and identify opportunities to streamline and simplify overall process.
  • Closely collaborate with Legal Operations on legal hold system functionality, upgrades, and simplification.
  • Stay current on general Electronic Discovery Reference Model (EDRM) trends and enhancements to O365 and Legal Hold system enhancements and digest content from a strategic viewpoint.
  • Collaborate on the development and validation of processes to inventory and manage data collected and hosted both with internal forensic team and external vendors.
  • Lead or support additional projects as needed, potentially including the ongoing ownership of longer-term programs (e.g., Collections and Data Preservation).

REQUIREMENTS:

Related experience in a complex legal environment, either in-house or at a corporate law firm, or both including:

  • 3+ years of experience in managing legal hold and collection activities.
  • Experience with legal hold technology and tools.
  • Experience working with workflows, databases, and platforms.
  • Experience working with global teams.
  • Experience working with virtual teams.
  • Experience with Microsoft Word, Power Point and Excel skills (e.g., v-lookup, pivot tables) are required.
  • Must be fluent in English, the ability to speak an additional language is considered an advantage.
