Responsibilities:

ROLE SUMMARY:

The Divisional Assistant plays a crucial role in providing administrative support to the Regional Division’s business managers and their teams. This support includes managing stakeholder and project communications, navigating competing priorities effectively, facilitating actions from the Office of the Chief Executive, such as Ministerial, Board and Executive reporting, and coordinating all divisional travel logistics. Additionally, the Divisional Assistant also provides coverage for the Executive Assistant during leave periods.

RESPONSIBILITIES AND ACCOUNTABILITIES:

  • Ensuring relevant information is available for staff to prepare for and achieve results.
  • Coordinating scheduling meetings and preparing associated agendas, minutes, and documents.
  • Coordinating divisional responses, approval, and submission of Board, Executive, Ministerial, and committee items to meet set timeframes.
  • Reconciling purchasing card statements for senior staff.
  • Liaising with internal and external stakeholders to organise meetings and obtain necessary information
  • Utilises the organisation’s stakeholder relationship management database.
  • Assisting with the preparation of leave rosters, collating performance management documents, and arranging large meetings and workshops with external stakeholders.
  • Providing coverage for the Executive Assistant during leave periods, and occasional short-term coverage for Reception.
  • Performing other duties as requested, including operational research.
