Job Description
The Document Controller will have the following respondibilities:
- Participation in appropriate meetings including minuting and proactively engaging in discussions, contributing to the Design Management Plan, PEP, collating progress reports, being aware of the scope of service and the agreed digital platforms to be used in each project.
- Gain awareness of the internal AECOM management systems and contribute to the development of design management tools and processes.
- Work on projects of diverse scope where analysis of situation or data requires evaluation of a variety of factors and appropriate problem solving.
- Supporting the Project Director, Technical Design Lead and Project Manager with:
- Preparing and updating the Master Design Delivery Programme.
- Contribute to the RFI register/platform by establishing regular reporting on RFI statuses, chasing replies, and tracking of the issues raised.
- Support the BIM production with tracking and managing open comments by the client or third parties.
- Obtaining all technical Client requirements and deliverables lists and track production against the timelines.
- Coordination with sub-consultants as required, including reporting on progress and training.
- Coordinate the design team to ensure timely delivery of the design outputs in line with AECOM’s Technical Quality Review (TQR) process
- Informing project reporting and compliance with AECOM’s project Delivery System (PDS).
- Produce Meetings and workshops minutes and monitoring resolution of the issues raised.
- The approach to all projects requires a high degree of flexibility and creativity, excellent presentational skills, and an ability to communicate effectively with clients and consultants. The successful candidate will be a focused and highly motivated individual within a professional team.
- He/she should have a basic understanding of construction projects and be experienced on documentation systems across a variety of platforms.
- Knowledge and capable of establishing a standardized document/drawing numbering system while adhering to company norms and requirements.
- Take charge of project folder setup, folder management, formulating registries, and document and drawing number allocation.
- Liaising with and distributing project-related information with the project team and potentially external parties.
- Assist the Project Manager during audits as needed.
- Maintains proper document configuration management in support of engineering and construction.
- Interfaces with project material control, scheduling, expediting, and client engineering to ensure
- Process and control all project document types daily in an accurate and timely manner.
- Ensure that quality documentation, such as documents, drawings, RFIs, and incoming and outgoing registers, is maintained.
- Adhere to the AECOM’s document lifecycle procedures, processes and as required by the Technical Design Lead and Project Manager.
- Communicate changes to document control procedures or other relevant information to the project team in consultation with the Technical Design Lead.
- Assist in implementing new and improving Document Management systems and document management processes.
- Train internal and external staff about the project documentation system on how to use and access the documents.
- Maintain confidentiality of sensitive documentation.
