Job Title: Document Controller
Job Location: Isle of Grain + additional terminal at Hamble (Hybrid 60/40 at Isle of Grain)
Contract Length: 12 Months (possibility to extend/ permanent)

Responsibilities:

ROLE OVERVIEW:

Terminals and Pipelines (TnP) is seeking out an organized and experienced Document Controller. This position will be responsible for the management of the office record for compliance, regulatory, company, and business documents.

WHAT YOU WILL DO:

  • Responsible for implementing the Office of Record documentation procedures and document retention requirements.
  • Files all required forms and records as established in TnP Office of Record procedures.
  • Ensures all Work Management Process (WMP) and Control of Work (CoW) documentation is received and filed in accordance with TnP procedures.
  • Provides support and assistance for updating and distributing P&ID’s, repair and inspect reports, gate maps, Station Prints, and related drawings and documents.
  • Leads efforts to gather district equipment documentation and information and keep it up to date.
  • Prepares documentation materials for, and assists in, various internal and external audits.
  • Ensures new document and records management and retention standards/policies are strictly enforced, including training on new digital tools.
  • Ensures project files are set up in accordance with the common process and in compliance with the proper regulatory agencies.
  • Assures project documentation and closeout occurs in a timely manner.
  • Identifies and facilitates regional employee training for all documentation processes and procedures.
  • Acts as a super-user of the documents and record management system.
  • Works closely with other TnP Document Controllers to ensure consistency and reduce redundancy.
